Project Coordinator / Virtual Executive Assistant
Location: Latin America 1st choice) or South Africa (Remote)
Working Hours: Monday Friday 8AM 5PM PST 40 hours/week) must be same timezone

We are seeking a proactive and highly organized Virtual Executive Assistant 20 / Project Coordinator 80 to support an executive in a dynamic and fastpaced environment. The ideal candidate brings a consulting background (minimum 3 years at a US or Western consulting firm) thrives on managing crossfunctional projects and is comfortable using project management tools like Wrike or Asana. A consistent track record of longterm roles 3 years average tenure in last two positions) is required.
This role blends executive support with project coordination making it ideal for someone who can juggle highlevel operations administrative tasks and workflow optimization with confidence.
Main Function
The EA/Project Coordinator ensures efficient project by managing timelines workflows and crossfunctional dependencies. This role also supports operational efficiency process optimization and performance reporting while providing executivelevel administrative support.
Key Responsibilities
Project Management & Operations
- Track project milestones deadlines and deliverables using tools like Wrike or Asana.
- Standardize operational workflows to improve team alignment.
- Prepare reports and dashboards (Excel Google Sheets etc. to monitor KPIs and project performance.
- Identify inefficiencies and proactively suggest process improvements.
Administrative & Tech Management
- Handle document preparation data entry and overall workflow optimization.
- Learn and manage a range of platforms and tools used by the company (Slack Notion Google Workspace etc..
Reporting & Analysis
- Proficiency in building and maintaining project trackers and KPI dashboards (Excel Google Sheets or similar)
- Ability to extract insights and flag risks early
CrossFunctional Coordination
- Strong collaboration and followup skills across teams
- Experience managing competing priorities and aligning stakeholders
Communication
- Clear and professional written communication
- Confident in facilitating updates meetings and team checkins

Key Qualifications
- Minimum 3 years of experience at a US or Western consulting firm (mandatory)
- Consistent career history with an average of 3 years in each of the last two roles (mandatory)
- Proven experience as an Executive Assistant Project Coordinator or similar role
- Familiarity with Wrike or Asana (highly pref d) and other project management tools like Trello
- Strong organizational planning and crossfunctional coordination abilities
- Proficiency in Excel Google Sheets or similar reporting tools
- Excellent English communication skills both written and verbal
- Techsavvy with the ability to learn new platforms quickly
- Critical thinker with a proactive solutionoriented mindset
- Must be available and responsive during PST working hours
