The Secretary at our rental agency plays a crucial role in ensuring the smooth operation of the office. This position involves a variety of administrative tasks including managing communication scheduling document handling and providing exceptional customer service. The ideal candidate is organized detailoriented and able to handle multiple tasks efficiently.
Responsibilities:
- Administrative Support:
- Answer phone calls and handle inquiries related to rental properties and services.
- Schedule and coordinate appointments viewings and meetings.
- Prepare and process rental agreements applications and other documentation.
- Maintain and update office files records and databases.
- Draft and proofread correspondence reports and other documents.
- Customer Service:
- Greet clients and visitors in a professional and friendly manner.
- Assist potential tenants with application processes and answer questions regarding property features and leasing terms.
- Address and resolve tenant concerns and issues promptly and effectively.
- Office Management:
- Order and manage office supplies and equipment.
- Coordinate maintenance and repairs for office equipment and facilities.
- Ensure the office environment is clean and organized.
- Communication and Coordination:
- Liaise with property managers maintenance staff and other team members to ensure efficient operations.
- Manage and distribute incoming and outgoing mail and packages.
- Handle financial transactions including processing rent payments and issuing receipts.
- Other Duties:
- Assist with marketing efforts such as updating property listings and promotional materials.
- Perform other administrative tasks as needed to support the team.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a secretary or administrative assistant preferably in a rental or real estate environment.
- Proficient in Microsoft Office Suite (Word Excel Outlook) and office management software.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to handle confidential information with discretion.
- Basic knowledge of rental agreements leasing procedures and property management is advantageous.
