Job Description

Job Title: Attendance Clerk

Reports to: Principal

Dept./School: Assigned Campus

Pay Grade: Paraprofessional PG3

Wage Status: NonExempt

Days: 202

Primary Purpose:

Maintain accurate attendance records for the campus. Under direct supervision perform data entry including attendance Public Education Information Management System (PEIMS) data and grades.

Qualifications:Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

  • Ability to use personal computer and software to develop spreadsheets databases and do word processing
  • Proficient keyboarding
  • File maintenance and 10key skills
  • Ability to meet established deadlines

Experience:

Oneyears data entry experience

Major Responsibilities and Duties:

  • Receive and direct incoming calls take reliable messages and route to appropriate staff.
  • Greet visitors (e.g. public parents students substitutes vendors etc. respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Maintain visitor log and issue visitor passes.
  • Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  • Receive deliveries and disseminate materials and information to the appropriate parties.
  • Collect and enter attendance and PEIMS data into established database and verify accuracy of according to established procedures.
  • Prepare and print reports including attendance reports grades class or personnel rosters endofsemester reports or accounting reports.
  • Maintain physical and computerized records including student cumulative folders progress and failure reports class rosters grade books and schedule changes if applicable.
  • Process new student records including requesting transcripts and records from other schools setting up cumulative folder and entering student data into appropriate databases.
  • Assist parents students and faculty with questions regarding student attendance.
  • Process and transmits requests for student information and transcripts.
  • Call parents to verify student absences as needed.
  • Report all attendance problems to designated administrator.
  • Assist in campus office as needed.
  • Maintain confidentiality.
  • Perform other duties as assigned by the supevisor that are consistent with the general requirements and qualifications for the position.

Personal or laptop computer printer copier fax machine shredder calculator telephone electronic mobile devices projector and video display monitor and/or wheelchair lift adaptive equipment and ramps as needed.

Maintain emotional control under stress. Frequent standing stooping bending pulling and pushing. Move small stacks of textbooks media equipment desks and other classroom equipment.

Regular districtwide travel to multiple work locations as assigned. Regularly sit talk or hear; frequently required to use hands to finger handle or feel; frequent repetitive hand motions; prolonged use of computer; occasionally lift and/or move up to 1050 pounds; occasionally required to stand walk reach with hands and arms; vision abilities include close vision; and color vision regularly work with frequent interruptions maintain emotional control under stress; the noise level is usually moderate. The employee may spend long hours in intense concentration which requires attention to detail. There are a number of deadlines associated with this position which may cause significant stress. The employee must also deal with a wide variety of people on various issues. Regularly perform multiple highly complex tasks with a need to periodically upgrade skills in order to meet changing job conditions and compliance with legal guideline. Flexibility is required to independently work with others in a wide variety of circumstances and integrating into different school environments. Occasionally work prolonged and irregular hours.
