Job Description

Primary Purpose
Under general direction from the Director of Student Involvement the Assistant Director for ASUOP : Student Engagement is responsible for the supervision management and advising of the Associated Students of the University of the Pacific ASUOP and will lead the planning and delivery of student programming within ASUOPs Arts and Entertainment Programming Board AEPB . The Assistant Director supports ASUOP through supervision and advising of student organization leaders providing comprehensive direction and guidance in planning projects and events; serving as a resource to students; assessing and maintaining risk management practices; monitoring advising and reporting on the ASUOP budget; developing and leading trainings for students. As a member of the Student Involvement team is also responsible for leading and directing school spirit and school pride initiatives in collaboration with campus partners.

Essential Functions
Work collaboratively with the coadvisor for ASUOP on all efforts projects and events. Under direction from the Director of Student Involvement provides supervision and direction in the development and management of ASUOP events and programs identifying and facilitating discussion and decisions about issues affecting events; and ensuring University and Student Life priorities are reflected in event planning and presentation and all are marketed effectively in Pacific and relevant social media channels. Attends all meetings and provides onetoone advising mentorship and professional development with the A&E Director A&E Team and the Creative Team. Working with the Director and campus partners is responsible for the coordination planning and of ASUOP events and ASUOPs participation in Student Life and University events including but not limited to: Movein Week of Welcome Homecoming and Admissions Prospective and Confirmed Student Events. Advise and train the ASUOP Arts & Entertainment (A&E) team. Plan and manage the following events: Week of Welcome Block Party Tigerlands Destress fest Bimonthly movies in the Janet Leigh Theater Popups Brickyards offcampus events etc. Manage a budget of about $500000 to $800000. Manage the student reimbursement process reconciling pro cards and meeting with the Register Student Organizations about funding. CoAdvise the ASUOP Director of Finance with the Assistant Director for ASUOP : Student Government. Manage the Janet Leigh Theater (oncampus) bimonthly movie series and the SWANK Movie contract and Tiger TV. Manage creative services which include the ASUOP Social Media ASUOP Branding and Design and ASUOP marketing. Under the direction of the areas Business Manager manages new hire and payroll processes for student workers. Responsible for the direct supervision hiring training and evaluation of students ASUOP A&E Graphic Design) including processing all hiring paperwork and approving timesheets. Ensures all scheduled events follow established University policies procedures and practices. Identifies possible institutional risk for hosted special events. Conducts risk assessment and provides advice to minimize risk for all ASUOP and A&E events. Responsible for A&E contract and negotiations with talent agents and venue administrators. Manages all vendor contracts in the units area with the support of the Business Manager. Ensures vendor forms contracts and agreements are complete and ready for submission into the University Contracts system (Cobblestone). Ensures contracts are approved and signed prior to events. Assists in the development and implementation of campuswide School Spirit and Pride Initiative(s) in conjunction with other University stakeholders including but not limited to Greek Life Registered Student Organizations Athletics Residential Life & Housing and other Student Life departments. Conducts at least one assessment each semester to measure the success of School Spirit and Pride Initiative(s) and makes recommendations to key University stakeholders to improve initiatives based on assessment results each semester. This will be in collaboration with the coadvisor to ASUOP . Serves as central Student Life resource for matters of University protocol (i.e. event format image projection and etiquette to be observed). Maintains highly professional standards and procedures for the production of events in keeping with the image and reputation of the University of the Pacific. Assists in developing the ASUOP budget; monitors budget expenditures; exercises budget authority ensuring fiscal accountability working with the areas Business Manager to ensure adherence to University procurement policies. Assists in developing the assessment plan for Campus Life events. Responsible for assessment of A&E events including the development of learning outcomes designing assessment tools reviewing and interpreting collected data and creating postevent analysis reports for leadership. Participates in Division of Student Life Events and Committees as requested. Performs other related duties as assigned. This position serves as Campus Security Authority CSA as outlined by the Clery Act. CSAs have federally mandated responsibilities to report crimes that are reported to them. Minimum Qualifications
Bachelors Degree Two 2 years experience in student government student activities fraternity and sorority affairs leadership planning/development or advising student groups.

Preferred Qualifications
Bachelors Degree in social science field leadership education higher education administration student personnel or related discipline. One 1 year of experience in budget preparation and oversight staff supervision and leadership initiatives. Demonstrate an understanding of the value of student activities and of the motivations of students who participate in them. Experience and sensitivity in working with people of diverse backgrounds and cultures. Demonstrated experience in advancing social justice equity and inclusion in a university setting. Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Schedule
Work is primarily performed in a standard office environment MondayFriday 8:00 am 5:00 pm with weekend and evening hours often required to supervise student events.
