The Waterloo Catholic District School Board serves over 27000 learners and provides services to students in 50 schools (Kindergarten to Grade 12 and adult learners) across the Waterloo Region.

General Description of Duties:

  • Registration processes and data entry of student demographic information and Personal Support Worker program schedules into ASPEN
  • Facilitate PSW report cycles and compile maintain and store student records according to WCDSB and St. Louis processes
  • Respond to inquiries about the PSW Program and perform all correspondence related to the application and acceptance process including the collection of material fees
  • Use a variety of different Microsoft Office software (Outlook Excel PowerPoint Word and Publisher) to produce letters memos reports communications publications and presentations
  • Assist Program Manager with planning and of program orientation and intake sessions
  • Assist Program Manager with planning and of PSW graduation
  • Assist in maintaining program policies and processes for the Personal Support Worker (PSW) program
  • Communicate and coordinate tasks with students teachers community placement partners business representatives representatives from government and professional agencies board employees and other social service establishments
  • Order collect distribute and maintain office supplies and resources
  • Other general office duties including printing filing scanning receiving/sorting mail word processing etc.
  • Liaise with the St. Louis administration leadership staff and administrative assistant team members
  • Other duties as assigned.


Minimum Requirements:

  • Two 2 year college diploma in a related field in either Business Administration or Office Administration
  • 12 years similar work experience
  • Excellent time management organizational and multitasking skills
  • Ability to work and communicate effectively in a busy office environment with frequent interruptions and a variety of due date timelines
  • Strong communication and interpersonal skills with external and internal contacts including those who speak English as a Second Language
  • Maintain confidential information appropriately and consistently
  • Working knowledge and demonstrated ability in Outlook Word Excel and ASPEN
  • Availability to work schedule below including evening hours and accommodate a flexible schedule if required for program events


Desirable Assets:

  • Ability to work independently and as a team player
  • Ability to demonstrate initiative good judgement positive problem solving and resourcefulness skills
  • Strong communication and interpersonal skills with external and internal contacts including multilanguage learners
  • Previous experience working in an adult learning environment


Hourly Rate: $28.58 to $30.08 per hour


Hours of Work: Fulltime 35 hours per week
Monday & Thursday 9:00 am 5:00 pm

Tuesday & Wednesday 12:00 pm 8:00 pm

Friday 8:00 am 4:00 pm


Location: St. Louis Adult Learning Centres Kitchener Main Campus with very occasional travel to other St. Louis campuses in Kitchener Waterloo & Cambridge

Weeks/Year: Approximately 43 weeks/year 3rd week of August to the end of June)
