The Division of Developmental Disabilities is seeking to hire an Executive Secretary I for the Fox Developmental Center located in Dwight Illinois to serve as Secretary to the Business Administrator to interpret and explain DHS and Facility rules regulations policies and procedures relative to Fiscal and Support Services operations. Coordinates workflow to and from Business Administrators office. Performs confidential secretarial functions for the Business Administrator. Organizes and monitors the Business Administrators schedule. Serves as a designated lead worker to lowerlevel staff.
Serves as secretary to the Business Administrator.
Inputs transactions into the Department of Human Services (DHS) payroll system for processing including appointments separations promotions reductions leaves and leave returns transfers overtime premium pay and all other payroll codes.
Inputs formats proofs and edits the Facility Operational Guide Manual.
Performs confidential secretarial functions for the Business Administrator including the keyboarding of service bidding contracts Facility staffing and structure changes layoff and strike plans management reports personnel evaluations documents relative to union issues budget staffing plans payroll and wage garnishments.
Serves as a designated lead worker.
Serves as backup to the Fox Center receptionist and switchboard operator.
Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Requires knowledge skill and mental development equivalent to completion of two 2 years of secretarial or business college and one 1 year of secretarial experience or completion of high school and three 3 years of secretarial experience.
Requires the ability to keyboard accurately at fiftyfive 55 wpm.
Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Three 3 years of experience performing secretarial duties for a public or private organization.
Three 3 years of experience gathering data to conduct special projects and studies for a public orprivate organization.
Three 3 years of experience working with sensitive/confidential information.
Three 3 years of experience maintaining records reports and files.
Three 3 years of basic proficiency working with personal computers utilizing related software.
Two 2 years of experience communicating effectively both orally and in writing.
Requires the ability to obtain licensure as a notary public within 30 days of employment.
Requires the ability to utilize office equipment including personal computers.
Requires the ability to work after business hours weekends and holidays.
Requires the ability to travel in the performance of job duties.
Requires ability to pass the IDHS background check.
Requires ability to pass a drug screen for prohibited from recreational use under Illinois Law.
