We are looking for an Executive & HR Assistant starting immediately in our Berlin office. The role would lasting 810 weeks on a fixed term contract.
Your responsibilities and deliverables:
You will work across various areas and your main responsibilities will be:
As Executive Assistant
- Calendar management: you will coordinate plan and organize appointments meetings events considering the priorities and availability of Clevel members.
- Travel management: you will make travel arrangements (flights accommodation etc. for business trips handling changes to travel plans and address issues that may arise. In addition you will prepare monthly expense reports for Clevel members.
- Communication support: you will screen and manage incoming emails phone calls and other communications for our Berlin office.
- Document management: you maintain and organize digital and physical files and handle sensitive and confidential information with the utmost discretion.
As Office Manager
- Office operations: you will manage the overall functioning of the office ensuring a clean organized and welcoming environment. Procure office supplies and equipment and manage vendor relationships.
- Facilities management: you will coordinate office maintenance and repairs ensuring a safe and functional workspace. Manage office security measures including access control and emergency procedures.
Qualifications :
- Minimum of 3year experience in comparable position.
- Excellent written and spoken English. German language skills are a bonus.
- Experienced in the use of MS Office 365 such as Outlook PowerPoint Excel and MS Teams.
- Independent structured way of working and organizational talent
- Strong interpersonal skills with the ability to interact confidently and professionally with senior executives.
