Job Description

Operations Specialist (WM)

Rockford IL

Salary Range:$24.13 $30.17 an hour

At Midland States Bank base salary is one component of our Total Rewards program. Exact compensation is determined by factors such as (but not limited to) education skills internal equity and experience. This position offers additional compensation in the form of shortterm incentives (i.e. bonus and/or commission) and may include longterm incentives (i.e. stock awards). Benefits for this role include comprehensive healthcare wellbeing benefits paid family leave as well as generous paid time off. Position Summary


As an Operations Specialist WM you will play a pivotal role in ensuring the timely and accurate processing and accounting of client transactions while providing superior service and support to the Wealth Management division across all markets. The Operations Specialists focus will be on process improvements technology adoption and efficient workflow management. This position will collaborate with crossfunctional teams including IT compliance and client services to drive excellence in operations. This position is an individual contributor role.


Primary Accountabilities

Precise and Efficient Processing

  • Ensures exact and timely handling of all transactions data entry and maintenance as required.
  • Responds promptly to frontline staff inquiries and requests.
  • Regularly reviews and reconciles accounting to maintain accuracy.

Agile Thinking

  • Embraces an agile mindset adapts to changing requirements and proactively seeks innovative solutions.
  • Collaborates with stakeholders to identify opportunities for process optimization and continuous improvement.

Process and Procedure Enhancements

  • Analyzes existing operational processes and identifies areas for enhancement.
  • Develops and documents streamlined procedures to improve efficiency.
  • Implements best practices and ensures adherence to compliance standards.

Technology Implementation

  • Works closely with IT teams to evaluate test and implement new technologies.
  • Champions the adoption of digital tools automation and data analytics within wealth management operations.
  • Ensures seamless integration of technology solutions into existing workflows.

Client Experience

  • Collaborates with client services teams to enhance the overall client experience.
  • Addresses operational challenges promptly and provides timely solutions.
  • Monitors service quality metrics and drive improvements.
  • Adheres to all established Service Level Agreements (SLAs) to meet Key Performance Indicators (KPIs) across all areas.

Project Management

  • Leads or participates in projects related to operational enhancements.
  • Coordinates project timelines milestones and deliverables.
  • Communicates project updates to relevant stakeholders.

Risk Management

  • Identifies operational risks and implement risk mitigation strategies.
  • Ensures compliance with industry regulations and internal policies.

Other

  • The role requires occasional travel for training and team meetings and willingness to travel periodically to locations within market as needed.
  • May require work in a Midland office to ensure collaboration and support of internal and external customers.
  • Maintain compliance with all applicable regulations including but not limited to the Bank Secrecy Act (BSA).
  • Other duties as assigned.



Position Qualifications

Education/Experience:

  • Associates degree in Finance Business Administration or a related field. Bachelors degree preferred.
  • 3 years of experience in financial services or wealth management operations preferred.
  • Proficiency in using wealth management software and tools.
  • Certifications such as Certified Trust Operations Professional (CTOP) Chartered Financial Analyst (CFA) Certified Financial Planner (CFP) or Chartered Retirement Planning Counselor (CRPC) are a plus.
  • Strong oral written and interpersonal communication skills.
  • Strong organization and time management skills.
  • Ability to work independently and as part of a team.
  • Strong analytical skills and keen attention to detail.
  • Providing a superior customer experience to both internal partners and external clients.
