Executive Assistant/Office Manager
Reporting to the Unit Leader the Executive Assistant/Office Manager will provide high level administrative support and insight guide initiatives with organizationwide impact along with overseeing and maximizing the effective operations of the office. This position will work with internal and external stakeholders to ensure priority projects and strategic objectives are met.
In addition this position will ensure that Leaderships time is leveraged effectively by engaging the right participants setting the agenda and ensuring the team is well prepared. The role requires and rewards a highly resourceful individual with strong emotional intelligence motivation and analytical skills.
Typical Duties and Responsibilities- Provide full administrative support to ensure that the executive functions and office operate in an efficient manner
- Organizing the office layout ordering supplies and ensuring the office is wellmaintained
- Responsible for meticulous calendar management including planning meetings coordinating recurring checkins and communicating with multiple parties to schedule events.
- Reporting office progress to senior management and working with them to improve office operations and procedures
- Recording office expenditure managing the budget and processing invoices
- Respond to inquiries and communicate on behalf of Leadership
- Organizing company events conferences including booking all travel
- Handling client billing including accounts payable
- Other duties and projects as assigned.
