General Overview:
The PHI Program Assistant performs a variety of administrative duties for members of the Advisory Service team. The Program Assistant is skilled at multitasking adhering to deadlines and working in a teamoriented environment with superb communication skills. As the Program Assistant supports a variety of complex projects the individual will be exposed to a broad range of PHIs work therefore flexibility is critical.
Responsibilities:
Schedules meetings and conference calls prepares meeting logistics
Prepares agendas and takes meeting minutes
Arranges logistics related to client services (i.e. makes dinner reservations arranges transportation etc.
Assists program managers in coordinating client events
Gathers information and materials in response to requests from program staff; puts together welcome packets and gifts for guests
Responds to information requests from program staff
Generates and updates standard reports and PowerPoint presentations as requested
Liaises with local travel agency for international travel logistics (reserving hotels air travel arrangements processing visas etc.
Maintains relevant paper and electronic files for program documents
Produces financial reimbursements and participates in budgeting and financial management processes
General administrative duties related to project delivery (copying data entry etc).
Research & compiling information on health care and medical education as it relates to projects
Develops and updates project management tools & templates to ensure compliance with best practices

BA/BS degree preferred
12 years of experience in an office environment (ideally in health care)
