Job Description

Overview

The Administrative Secretary supports the Logistics Manager to schedule/reschedule staff faculty space learners and associated internal and external activities to meet the numerous projects and educational programs performed at and by the Center. This person interacts regularly with standardized patients (SPs) standardized patient educators (SPEs) Event Administrators Center Directors and Program Coordinators life support instructors and assists with staffing the complete set of Center educational and training offerings to include Tidewater Center for Life Support courses.

Responsibilities

  1. Perform or assist the Logistics Manager to perform logistical scheduling and coordination for a variety of Center functions typically both local and remote training and educational programs and activities. The Center develops and delivers several on and offsite educational based education and training programs and activities that require personnel space and equipment resources. These include:
    1. Human Simulation Programs:
      1. Standardized Patient (SP)
      2. Physical Exam Teaching Associate (PTA)
  • Gynecological Teaching Associate (GTA)
  1. Male Urological Teaching Associate (MUTA)
  1. Devicebased simulation training and education programs.
  2. Hybrid simulation programs.
  3. Tidewater Center for Life Support:
    1. American Heart Association Advanced Cardiac Life Support (ACLS) Pediatric Advanced Life Support (PALS) and Basic Life Support (BLS) programs;
    2. Advanced Stroke Life Support (ASLS) program;
  • American College of Surgeons Advanced Trauma Life Support (ATLS) program;
  1. Other life support oriented educational programs developed and/or conducted by the Center.
  1. The Graduate Medical Education events.
  2. External client events both local and offsite.
  3. Other programs/events as required.
  1. Develop and maintain a working understanding of the capabilities required by staff and faculty to support the aforementioned onsite and offsite training and educational programs and activities.
  2. Develop and maintain a working knowledge of the resource footprint/needs of the various training and education activities at the Center.
  3. Utilize the below listed systems as well as email Slack telephone voicemail and SMS/text to accomplish required scheduling and communication activities. (Training will be provided.
    1. Shiftboard a webbased personnel scheduling platform;
    2. CAE Learning Space a webbased learning management system; and
    3. Simulation Information Management System (SIMS) program a unique webbased program for simulation based medical education and training.
    4. Microsoft Office suite of tools.
  4. Capture report and maintain attendance of Center transient staff at Center training and other events as needed.
  5. Participate in and occasionally lead various daily and weekly meetings to include standup calendar reviews team deepdive and other Center meetings.
  6. Coordinate attendance with the Logistics Manager and/or Associate Director to ensure complete coverage of daily/weekly activities.
  7. Communicate promptly and professionally both orally and in writing; in particular communicate event staffing status in a timely and accurate fashion.
  8. Support general Center functions when and if requested.
  9. Perform other duties as assigned.

Qualifications

Candidate should hold prior experience working in business or health care environment. Associates degree preferred. Computer experience in Microsoft Office software is required. Must be detailoriented flexible selfmotivated and selfdirected; able to meet deadlines; a team player with good problemsolving skills; and willing and able to learn new technologies. Must be proficient working with basic computer hardware equipment and software applications relevant to scheduling and general troubleshooting; and be proficient in the Windows operating system.
