Job Description

Primary Functions:

This position is responsible for managing the lifecycle of project accounting in accordance with established accounting standards and project accounting policies. The role ensures compliance with contractual guidelines and requirements.

Essential Duties and Responsibilities:

  • Project Communication: Collaborate with Project Managers (PMs) and teams regarding project setup contract documents contract modifications approvals and additional services related to billing.
  • Billing and Accounting Setup: Set up review and confirm billing terms fees and other accountingrelated matters to ensure accurate allocation of labor and expenses to projects and proper revenue recognition.
  • Project Charge Review: Review and evaluate project charges for accuracy complete cost transfers update project budgets as needed and ensure all project data is current.
  • Project Performance Monitoring: Monitor key indicators (e.g. negative variance backlog) for projects and keep PMs and accounting informed of any concerns.
  • Project Review: Meet with PMs to review project performance and key financial data. Research unbilled issues and optimize billing opportunities.
  • Subconsultant Expense Management: Support PMs with subconsultant expenses by reviewing and approving subs invoices in line with contract terms.
  • Invoice Processing: Process subconsultant invoices company invoices and project financial reports on a monthly basis or according to the project schedule.
  • Ensure draft invoices are accurate and aligned with contract requirements. Identify corrections needed obtain documentation and approval from the PMs.
  • Submit final invoices to clients. Maintain organized billing folders for all projects including expenses consultant invoices and monthly invoices per company standards.
  • Prepare final invoice packages including draft and final invoices with all relevant backup documentation for reconciliation by the Accounting Department.
  • Collaboration with Teams:
  • Work with the Accounts Payable team to resolve issues related to consultant invoicing and reimbursable expenses.
  • Collaborate with the Accounts Receivable team to reconcile any discrepancies.
  • WriteOffs: Process writeoffs for uncollectible labor or expenses as directed and approved by PMs and senior management.
  • Audit Support: Provide assistance to internal and external auditors including research and reconciliations as required.
  • Project CloseOut: Assist the project management team with the project closeout process including final invoices and the release of retainage.
  • Close out project accounts upon project completion.
  • Reporting: Prepare special project analyses and reports for PMs and others.
  • Process Improvements: Recommend and implement process improvements for the billing cycle.
  • Ongoing Learning: Stay up to date with the latest project accounting principles and related subject matter.
  • Additional Responsibilities: Perform other duties and assignments as needed.

Education Knowledge Skills and Experience:

  • Education: Bachelors degree in Accounting Engineering Business or a related field preferred.
  • Experience: 3 to 5 years of experience in accounting preferably in the A/E/C (Architecture Engineering and Construction) industry.
  • Technical Skills: Intermediate to advanced proficiency in Microsoft Excel. Experience with Deltek Vision Vantagepoint or similar accounting platforms is a plus.
  • System Adaptability: Ability to quickly learn new systems and procedures.
  • Contract Knowledge: Familiarity with standard contract terms (hourly lump sum nottoexceed) and their application in the billing process.
  • Attention to Detail: Strong attention to detail and accuracy.
  • Work Style: Ability to work effectively both independently and as part of a team under deadlines and in response to shifting priorities.
  • Communication Skills: Excellent written and verbal communication skills with strong organizational capabilities.
  • ProblemSolving: Highlevel problemsolving abilities with the capacity to analyze issues and report problems as necessary.
  • Customer Service: Strong service orientation able to maintain professional relationships with stakeholders including executives PMs accounting teams and clients.
  • Ethical DecisionMaking: Exercise responsible and ethical decisionmaking regarding company funds resources and conduct and adhere to Metrics Code of Conduct and policies.
  • Workplace Safety: Proven record of upholding workplace safety practices and the ability to adhere to Metrics health safety drug/alcohol and harassment policies.
  • Work Authorization: The selected candidate must be authorized to work in the United States.
  • Relocation: Relocation assistance is not available for this position.
