Job Description

Assistant Director

Reports to: Director of Early Childhood Care
Direct Reports: Program Coordinator
FLSA Classification: Exempt
Date Approved: February 5 2025
Pay: $47k $52k annually

Summary
The Assistant Director provides administrative operational and supervisory support to the Director of the Early Learning Program (ELP) and Empowerment Childcare (ECC) to ensure the smooth functioning of the department. This role is responsible for overseeing the Program Coordinator maintaining required documentation for licensing and grants organizing administrative tasks and assisting with staff and family coordination. The Assistant Director must have a working knowledge of North Carolina Child Care environmental standards and support compliance with state requirements. This is a fulltime yearround benefitseligible position.

Duties and Responsibilities
Supervisory Responsibilities
  • Provide direct supervision to the Program Coordinator including performance management training and professional development.
  • Delegate tasks and responsibilities to the Program Coordinator as appropriate.
  • Conduct regular checkins and evaluations to ensure the Program Coordinator is meeting program goals and compliance requirements.
Administrative Support
  • Assist the Director with administrative tasks to ensure smooth daily operations.
  • Maintain hard copy and electronic records required for licensing and grant reporting.
  • Help manage staff schedules and ensure classroom ratios are maintained.
  • Prepare reports as needed for internal and external stakeholders.
Compliance and Program Monitoring
  • Assist in monitoring compliance with state and federal childcare regulations and reporting requirements.
  • Support the implementation of CACFP and other reporting and monitoring programs.
  • Stay updated on North Carolina childcare licensing regulations and assist in ensuring program compliance.
Family and Staff Coordination
  • Assist with family enrollment procedures including conducting orientations interviews and tours.
  • Work closely with the Enrollment Coordinator to maintain accurate financial records for billing.
  • Serve as a liaison with parents external agencies and YWCA administrative staff providing highquality customer service.
Classroom and Program Support
  • Support classrooms as needed including providing breaks and assisting with operational needs.
  • Provide administrative support to teachers by supplying necessary forms and clerical assistance.
  • Serve as temporary acting director when required.
  • Perform other duties as assigned by the Director of ELP.
Required Skills and Abilities
  • Strong leadership and supervisory skills to effectively oversee the Program Coordinator.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Proficiency in Microsoft Office (Excel Word) electronic communication data entry and file management.
  • Excellent communication and interpersonal skills to interact with children families and staff.
  • Attention to detail and ability to meet deadlines.
Education and Experience
Minimum Qualifications
  • High school diploma required.
  • Associates or Bachelors Degree in Early Childhood or a related field is desirable.
  • Level 3 North Carolina Early Childhood Administration Credential (NCECAC).
  • At least five years of experience in childcare including two years in an administrative or supervisory role.
  • Familiarity with ITERS and ECERS rating scales.
  • Experience working with systems such as NC Fast Cocasa ProSolutions Creative Curriculum and Early Head Start.
Working Conditions
  • Primarily works in an office setting but may need to interact directly with children and staff.
  • May be exposed to common childhood illnesses.
  • Works with a culturally and economically diverse group of children parents and colleagues.
  • Must be able to perform CPR and basic first aid.
  • Must pass a background check.
Physical Requirements
  • Prolonged periods of sitting and working on a computer.
  • Occasional lifting of up to 50 lbs.
  • May need to bend lift and engage in physical activities with children as needed.
