Job Description

Under general supervision coordinates operational administrative and secretarial aspects of office and research work. Requires discretion and judgment to organize priorities and complete tasks. Prior experience with proposal writing and management of federal grants is highly desirable. Reports directly to Research Investigators and Director.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

May include duties and responsibilities of the Clerk Office Assistant and Administrative Staff Assistant Level II as well as:

Grant Management and Research Support 50 Assist the research investigators search and identify funding sources compatible with research programs in the laboratory. Assist the research director in collecting and preparing materials for proposal development including gathering budget materials and administrative part of the proposal submission forms. Communicate with coinvestigators in research programs to collect bio sketches and curriculum vitae to be included in the proposal. Assist in preparing and writing of grant proposal narratives with figures and tables to be compatible with the policies/requirement from the funding agency. Work with preaward administrators to prepare forms for submission of proposals to the funding agencies. Work with postaward administrators on management of existing grants by: tracking grants; developing internal reporting systems; writing reports; maintaining excellent historical records; ensuring each project or program is meeting proposal conditions and expectations. Assist researchers in the preparation of the text figures and tables of research manuscripts. Proof read the research manuscripts to make them ready for submission. Assist in submission of manuscripts to journals and tracking the status of the manuscripts.

Ensure that work done at the 3D Clinical Service is properly billed 10 Incumbent will serve as a backup for this role for the Administrative Assistant. This role includes making sure the exams are properly scheduled completed finalized. Information about cases will come from the radiology information system (RIS) and RIS reports. It will also be necessary to present to radiologists lists of cases that are unread or improperly reported for their review prior to billing and to follow up with radiologists and film library staff as needed to maintain current billing. Incumbent will be required to run reports on billing activity and rectify any inconsistencies according to lab policy. Incumbent will support Administrative Assistant III in this role and will perform all the functions of this work when Administrative Assistant III is not available.

Manage Purchases 10 Responsible for submitting accurate and complete purchase orders to materials management. Follows up on all purchase orders and ensures that materials are delivered in a timely manner. Manage check requests for independent contractors employee reimbursement and invoices. Manage and tracks all petty cash transactions.

Manage office space and supplies 10 This includes maintaining the stock of office supplies and materials necessary for the routine operation as well as handling the purchase of any items on an as needed basis. Incumbent will be expected to record all expenditures and provide reports of expenses. Incumbent will be responsible for maintaining the general condition and neatness of the office space as well as any issues relating to materials management. Act as liaison with building management to address issues of lab maintenance and environment.

Performs general clerical duties 20 Including photocopying faxing and filing. Management of Directors contacts cv and publication lists.

SKILLS/ABILITIES/COMPETENCIES REQUIRED:

  • Knowledge of medical terminology and procedures.
  • Word Processing skills required specifically; Microsoft Word
  • Knowledge of Radiology Information System (RIS) preferred
  • Knowledge of spreadsheet presentation and database software; Microsoft Excel PowerPoint and Access
  • Good command of English Language
  • Grant administrative experience required.
  • Ability to work independently.
  • Ability to prioritize work.
  • Excellent organizational skills.

EDUCATION:

  • Bachelors degree or equivalent preferred.

EXPERIENCE:

  • Minimum one year experience managing NIH grant submission and administration
  • Minimum two to four years experience in an office environment.
