EXPLORE MARRIOTT Office Coordinator for the Maintenance Department

Position summary

To perform administrative duties in the maintenance department ensuring compliance with systems Marriott processes and UK regulation.

CANDIDATE PROFILE

Experience/Education:

  • Previous experience working within a Technical Services Department or similar environment preferred.
  • Administrative experience preferred.
  • Good level of English essential.

Skills and Knowledge:

  • Strong Communication skills (verbal listening writing)
  • Proactive and reliable
  • Positive demeanor
  • Able to work alone and within a team.
  • Computer skills required.
  • Technical knowledge to effectively support the technical services department.
  • Organized and ability to manage time and workload.

SPECIFIC TASKS

The following are specific responsibilities and contributions critical to the successful performance of the position:

  • Provide ongoing support to technical services department (TSD) team to drive and work towards common goals.
  • To support with any reasonable task that is assigned by the TSD leadership team.
  • Support with administrative tasks such as the processing of invoices running monthly reports inputting data handling phone calls obtaining quotes and calling contractors.
  • Prepare and review written documents accurately and completely.
  • Comply with all quality assurance standards.
  • Ensure compliance with both Marriott policies and UK regulation by keeping systems up to date and keeping paperwork organized and filed in a logical order.

Communication:

  • Speak to guests and coworkers using clear appropriate and professional language.
  • Answer telephones using appropriate etiquette including answering the phone within 3 rings using the callers name transferring calls to appropriate person/department requesting permission before placing the caller on hold taking and relaying messages and allowing the caller to end the call.
  • Prepare and review written documents (e.g. daily logs business letters memoranda reports) including proofreading and editing written information to ensure accuracy and completeness.
  • Talk with and listen to other employees to effectively exchange information.

SAFETY AND SECURITY

  • To have a good understanding of health and safety always adhere to safe working practices never compromising this.
  • Adhere to COSHH safety standards and champion the safe and correct use of chemicals.
  • Wear the necessary personal protective equipment (PPE) depending on the task you are undertaking.
  • To promote awareness of health and safety. For example fire alert points exits fire extinguishers trip hazards wet floor signs etc.
  • To clean as you go to ensure a clean and tidy work area.
  • Follow company and department safety and security policies and procedures to ensure a clean safe and secure environment for other team members and guests.
  • Report accidents injuries and unsafe work conditions to manager.
  • Complete safety training and certifications.
  • Employ correct lifting procedures to avoid injury.
  • Protect the privacy and security of guests and your coworkers.

OTHER

  • To carry out any other duty/function that may be assigned by immediate supervisor Department Assistant Manager Department Head or Executive Committee member.
  • To maintain a high standard of grooming hygiene and uniform standards.
  • Support all coworkers and treat them with dignity and respect.
  • To develop and maintain healthy interdepartmental relationships support team to reach common goals.
  • Complies with Marriott International Hotels Limited regional office and hotel policies and procedures.
