We are currently seeking an experienced selfdriven Executive Assistant to the President to manage the Presidents calendar manage priorities of President and corporate entities act as a liaison and facilitator with corporate team members and handle highly confidential material on a regular basis.
Responsibilities:
  • Manage the Presidents calendar. Use good judgement in identifying critical items arrange meetings/calls and make scheduling changes
  • Judiciously manage priorities of President and corporate entities
  • Prepare correspondence and documents
  • File organize and maintain records in paper and digital formats
  • Act as liaison and facilitator with corporate team members
  • Order office supplies
  • Handle highly confidential material on a regular basis
  • Manage the Presidents travel arrangements and track travel history related to government clearances
  • Support various department managers with clerical tasks as needed
  • Prepare presentation material for the Board of Directors meeting and coordinate meeting logistics including meals. Assist members of the Board with their travel arrangements transportation and accommodations
  • Review approval requests (expense reports agreements etc. for accuracy and compliance with company policies
  • Greet visitors
  • Other administrative and project related duties as assigned
Requirements:
  • Bachelors degree in a related field
  • 510 years of administrative experience preferably as a paralegal
  • Proficiency in all Microsoft Office programs is required including Excel Outlook Word and PowerPoint
  • Strong verbal and written communication skills
  • Excellent time management and organizational skills
  • Problemsolving and strong attention to detail
  • Skills to build rapport and handle sensitive and unexpected situations
  • Ability to work independently and/or with general guidance
  • Ability to exercise considerable discretion judgment tact and diplomacy and maintain confidentiality
