Job Title: Operations Coordinator
Exempt/Nonexempt: NONEXEMPT
Immediate Supervisor: Best Start for Families Department Director
Salary: $22$24
Essential Functions:
- Coordinates administration implementation and marketing of assigned programs by working independently as well as working well in a team environment and exercising sound judgement in completing work assignments.
- Actively engages children youth parents and families in Best Start programs. May work some evenings and occasionally weekends to meet program objectives. May travel within region to atrisk communities in providing services to youth and families including may visit families in their homes when appropriate in order to support the Best Start programming.
- Provides administrative operations tasks which include such functions as budget/billing support ordering supplies completing invoices for accounts payable and receivable independent contractor agreements tracking hours and billing safety certificates scheduling fire drills and providing safety plans.
- Maintain and enhance Program Management Matrix and Quality Control and other related mechanisms by providing technical support including timely and accurate data entry data review and monitoring BSFF databases using Excel SPSS Google Docs and MyEvolv for program evaluation.
- Serve as a parenting facilitator coach and mentor to parents as well as youth in the Aurora and Chicago areas collaborating with the Aurora School District/Resiliency Center other potential partner institutions and Chicago Public Schools (CPS).
- Provides accurate and timely written reports program documentation evaluations as required.
- Works with Director and Managers to create implement and manage community networking opportunities in the Aurora and Greater Chicagoland area. Tracking efforts and providing timely followup as needed in order to meet program objectives.
- Responsible for the preparation organization and technical support of Education Manager and Director in advance of during and following professional training Workshops
- Responsible for program continuous quality improvement; suggesting ideas and following through on approved items which may include evaluation logs and ensures accurate data recording and reporting.
- May occasionally support the preparation of grant submissions and reporting as well as of events.
- May provide new staff orientation/onboarding presentation and further development as well as ongoing processing.
- Perform other duties as assigned.
Knowledge and Ability Requirements:
- Strong leadership and program management skills including program and evaluation.
- Knowledgeable about family parent and youth educational curricula and resources development.
- Strong interpersonal skills and capacity for building positive relationships (communicating effectively in Spanish/English skills preferred).
- Proficient with technology: Mac/PC Microsoft Office Web Management Google Docs SPSS Adobe InDesign.
- Flexible enthusiastic advocate who works independently and is eager to learn and support others.
- Detailoriented skilled in organizing prioritizing tasks and maintaining documentation.
- Comfortable working with diverse populations promoting inclusion and supportive relationships.
Education and Experience:
A Bachelors degree in Human Services Education or Social Work or a related field is required with a Masters degree preferred. Candidates should have a minimum of 24 years of experience in coordinating programs operations data and/or quality assurance within educational or social service settings. Demonstrated successful experience in building and maintaining positive relationships with program participants families educators and community partners is essential. Preferred candidates will have proven experience in presentations and training and have experience with the Best Start program. A proven track record of working with diverse populations and promoting inclusive practices is essential. Bilingual in English and Spanish is a plus. A valid drivers license and insurance is required. Must meet driving requirements as required by DCFS regulations.
Physical Demands and Other Requirements:
To perform this job successfully an individual must be able to perform the essential duties listed in the job description satisfactorily. While performing the duties of this job the employee is regularly required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger handle or feel objects or controls; reach with hands and arms. Capable of operating standard office equipment including a computer and keyboard calculator typical business machines such as a fax machine and copier. The employee must occasionally lift and/or move up to 2030 pounds. Specific vision abilities required by this job include close vision distance vision and the ability to adjust focus. The employee is required to have valid drivers license auto insurance and must be able to safely operate a motor vehicle. The work environment characteristics include a noise level which is usually low to moderate.

Able to successfully share skills and concepts with others and works effectively with others under time and environmental pressures.
- Safety and Agency Resource Utilization: Demonstrates sound judgement and foresight in safety awareness and in daily work. Notifies in a timely manner the supervisory chain of any incidents or circumstances that need attention. Report all suspicions or allegations of abuse immediately to their supervisor. Ensures appropriate utilization of materials and resources and minimizes waste.
