Essential Job Duties and Responsibilities
Using a computer types various letters policies procedures documents reports meeting minutes etc. as dictated to or written.
Answers department telephones providing routine information taking accurate and complete messages and/or referring calls to the appropriate party.
Takes and transcribes minutes at various meetings; ensures timely distribution of same to appropriate parties.
Responsible for the Administrative and Nursing Administrative On Call Schedule coordinating and recording online.
Prepares various reports or records for meetings or other materials as may be required.
Makes arrangements for various conferences lectures meetings etc. by calling various businesses and/or individuals; ensures applicable materials equipment and/or food requirements are available
Arrange travel for CNO Nurse Managers and staff as directed.
Supply Hub for all Nursing Departments ordering and delivering of office supplies furniture and business cards as required.
Demonstrates the ability to perform assignments with a minimum of supervision. Acts independently when appropriate in handling the task at hand.
Coordinates the dissemination of information to clinical and office staff

Primary duties include the exercise of discretion and independent judgment with respect to matters of significance in the Hospitals operations.
Assumes the responsibility of maintaining the confidential nature of material handled.
Develops and maintains a positive and professional relationship with employees Members of the Board of Trustees consulting physicians visitors and members of the community.
Coordinates the control and distribution of Nursing policies and procedures and updates all manuals containing same.
Coordinates the distribution of hospitalwide administrative policies for the Policy and Procedural Manual Orange Book.
Coordinates and edits entries to the CPSI time clock for members of the Patient Care Services Management Staff s that report to the Chief Nursing Officer.
Coordinates and transcribes the transport statistics from worksheets and disseminates same.
Performs other duties as assigned by the VP Patient Care Services/CNO or his/her designee.
Maintains schedule and calendar for the VS Patient Care Services/CNO.
Maintains confidentiality of patient information in accordance with Hospital policy and applicable statutes and regulations.
18. Assists with MDAccess when assigned.
19. Assists with Meaningful Use criteria reporting as requested
Communicates with Nursing travel agencies the openings in the nursing departments facilitates interviews between potential staff and Nurse Managers and maintain current list of Nursing Travelers on a month by month basis.
Essential Qualifications Knowledge Skills and Abilities Required for the Position
Knowledge of:
Working knowledge of Microsoft Office applications
Skills:
Excellent Computer Skills required.
Excellent written and verbal communication skills required.
Notary Public
Ability to:
Tactfully communicate with both internal and external customers.
Handle stress and work in emergency situations.
Use fingers and hands to operate all departmentrelated equipment as described on the Department checklist. Additionally must use telephone calculator fax laminator and other related office equipment.
Frequently bend using back and knees.
Lift between five 5 and twentyfive 25 pounds.
Frequently stand and walk is required. Minimal crawling required.
Bend twist crouch squat pull push reach and remain stationary for short period of times and perform repetitive motions.
Credentials and Experience Required
Associates Degree in Secretarial Science or equivalent required.
Three 3 years prior administrative assistant experience required.
Special Requirements
Regular workweek requiring minimal additional hours.
Occasional evening and weekend hours are required.
Must be available to work in the case of a declared hospital emergency.
May also be exposed to temperature fluctuations moderate noise levels minimal dust infectious diseases and chemicals that are commonly used in a hospital setting.
