Job Description

Title: Office Assistant

Classification: Employee Fulltime Inperson Hourly NonExempt

Hours: 34 hours per week; See Potential Schedule Below

Location: InPerson

Hourly Rate/Salary Range: $16.50 per hour

Pay Frequency: Biweekly

Reports To: MPG Practice Manager


Position Summary:

MPG is seeking a detailoriented and customerfocused Office Assistant to support daily operations in a dynamic mental health practice. Responsibilities include greeting clients managing calls scheduling appointments maintaining office organization handling confidential documents in the EMR system and assisting with inventory and administrative tasks. The role also involves ensuring a clean and welcoming environment supporting clinicians and helping with team events. Ideal candidates have a high school diploma or GED (bachelors degree in psychology or related field preferred) strong organizational and communication skills a friendly and professional attitude and basic proficiency in Google Workspace. Prior administrative or customer service experience is a plus along with the ability to work independently take initiative and contribute to office improvements.

  • Monday: 12:00 PM 5:00 PM
  • Tuesday: 2:00 PM 8:00 PM
  • Wednesday: 12:00 PM 5:00 PM
  • Thursday: 2:00 PM 8:00 PM
  • Friday: 12:00 PM 5:00 PM
  • Saturday: 9:00 AM 3:00 PM


Position Responsibilities:

  • Greet clients and families answer calls and alert appropriate staff members.
  • Schedule reschedule and respond to appointment cancellations.
  • Maintain office organization including restocking supplies organizing the toy closet and ensuring furniture is in place.
  • Scan and upload documents to the appropriate EMR system ensuring confidentiality.
  • Assist with inventory management and receiving packages.
  • Provide administrative support to clinicians and assist with teambuilding events as needed.
  • Open and close office ensuring all equipment machines and supplies are properly managed (e.g. water snacks lights Keurig etc..
  • Ensure a clean and welcoming office environment including restocking bathroom supplies checking trash and shredding confidential documents.
Requirements

Position Qualifications:

  • High school diploma or GED required; bachelors degree in psychology or related field preferred.
  • Previous experience in an administrative or customer service role is a plus.
  • Detailoriented with a strong focus on organization and task management.
  • Strong communication (written and verbal) and interpersonal skills.
  • Positive friendly attitude with excellent customer service skills.
  • Ability to work independently take initiative and help improve office processes.
  • Basic proficiency in Google Workspace (Docs Sheets etc..
  • Willingness to learn and grow with a dynamic expanding practice.

Position Conditions:

  • Position is 100 inperson working in a traditional office setting with no remote flexibility.
  • Must be able to work established days and hours to meet the business needs of the practice.
  • Ability to work independently while receiving scheduled ongoing supervision.
  • Ability to sit stand and move around the office for extended periods.
  • Manual dexterity for handling paperwork office equipment and electronic devices
  • Ability to work in a standard office environment with typical office equipment.
