Job Summary:
We are looking for a dedicated and detailoriented Secretary to the Principal to provide highlevel administrative support. The ideal candidate will manage the principals schedule coordinate communication and ensure the smooth functioning of the principals office. This role requires exceptional organizational communication and time management skills. Candidates with international experience are preferred as the institution values global perspectives and efficient handling of diverse tasks.
Key Responsibilities:
- Provide comprehensive administrative support to the Principal including managing the principals calendar scheduling appointments and arranging meetings.
- Prepare review and organize communications reports presentations and other official documents for the principal.
- Manage incoming and outgoing correspondence including emails phone calls and letters while ensuring timely responses and proper filing.
- Coordinate meetings parentteacher conferences and school events including preparing agendas taking minutes and following up on action items.
- Assist with the preparation of reports presentations and documents needed for meetings with staff board members and external stakeholders.
- Handle sensitive information with discretion and maintain confidentiality at all times.
- Act as a liaison between the Principal and faculty staff students parents and external parties.
- Organize travel arrangements itineraries and accommodations for the Principal as needed.
- Manage the offices filing system and ensure all important records and documents are maintained in an organized manner.
- Support the Principal in daytoday tasks anticipating needs and ensuring operational efficiency within the office.
Requirements:
- Proven experience as a Secretary Administrative Assistant or similar role preferably in an educational setting.
- International experience or exposure is preferred especially in administrative or educational environments.
- Strong proficiency in office software such as Microsoft Office Suite (Word Excel PowerPoint Outlook) and familiarity with administrative tools.
- Excellent time management organizational and multitasking abilities.
- Strong written and verbal communication skills with attention to detail and professionalism.
- Ability to handle sensitive and confidential information with the highest level of integrity.
- Professional demeanor and the ability to effectively communicate with students parents staff and external parties.
- Ability to prioritize tasks and work under pressure while maintaining a high level of accuracy and efficiency.
Qualifications:
- Bachelors degree in Business Administration Office Management or a related field (or equivalent experience).
- Minimum of 23 years of experience in an administrative or secretarial role preferably within a school or educational institution.
- International experience or exposure to diverse work environments is an asset.
- Strong organizational skills and attention to detail.
