Position Summary

The Administrative Assistant will play a key role in supporting the Policy & Legal Affairs Team at the Assembly of Manitoba Chiefs Secretariat. Reporting to the Senior Administrative Coordinator this individual will provide comprehensive administrative support ensuring the efficient operation of the team and the successful of various policies and legal initiatives. The ideal candidate will possess exceptional organizational skills attention to detail and the ability to handle multiple tasks in a fastpaced dynamic environment.

Key Responsibilities

  • Provide administrative support to the Policy & Legal Affairs Team.
  • Assist in preparing briefing notes correspondence summary reports and other documentation as assigned.
  • Prepare and ensure timely distribution of appropriate materials and agenda items before meetings.
  • Coordinate and prepare information packages for Chief Committee meetings conferences and assemblies.
  • Prepare financial travel and accommodation required for AMC meetings.
  • Respond to external and internal inquiries expediently professionally and tactfully.
  • Record transcribe and distribute minutes promptly.
  • Maintenance of an effective filing system.
  • Managing calendars and making travel arrangements.
  • Completing reports and financial data.
  • Other duties as assigned.

Qualifications

Education & Experience

  • Bachelor of Business Administration Commerce or Accounting or an acceptable combination of education training and/ or at least 2 years experience in a fastpaced office setting.
  • Excellent time management organizational and planning skills.
  • Ability to work under pressure.
  • Ability to communicate effectively both orally and in writing.
  • Excellent interpersonal skills and ability to work cooperatively as part of an interdisciplinary team of professionals.
  • Demonstrated ability to work independently with minimal supervision.
  • Proficient in using Microsoft Office Word Excel PowerPoint Outlook and databases.
  • Adhere to AMC policies and procedures with specific attention to attendance and professional ethics.
  • Must have a current satisfactory Criminal Record Check Clear Child Abuse Checks
  • Possess a valid Class 5F Drivers License and vehicle.
  • Work flexible hours and travel upon request.
