Responsible for assisting in the management of the property. Assist in ensuring maximum income of property through effective property management. Assist in the development of related budget oversee leasing contracts procures services handles third party service contracts and maintenance procedures. Ensures that all buildings grounds and equipment are well maintained and in optimal working condition. Implements departmental and procurement policies and procedures and ensures that all operations are in accordance with established health and safety regulations. Ensures that services purchased are of acceptable quality in compliance with procurement policy. Ensure student queries are attended to. Keep Regional Property Management team well informed of the area activities and significant problems.
Duties
Operational management of the property and related facilities.
- Building management
- Creating work order for all maintenance issues reported on the maintenance email and by students at reception or telephonically.
- Maintain various management systems in student accommodation service offering my buildings/PIMS/Rise Website
- Building mutually beneficial relationships with all stakeholders of the residence
- Manage all areas of residence
- Keep and maintain a key register for all vacant units within the precinct.
- Manage repairs revamps and refurbs including reporting
- Conducting inspections handovers and walkabouts
- Ensure OHS site compliance
- Ensure student adhere to policies
- Asset register and assistance with compilation thereof
- Manage meter reading records
- Manage assistant residence manager where applicable) and handyman
- Manage Maintenance sub contractors
- Manage site operations
- Manage maintenance aspects BMS and audits
- Manage with reactive and planned maintenance room inspections building inspection etc Log in to my buildings
- Ensure effective management of risk.
- Manage student affair in conjunction with SLO
- Ensure document storage facility security
- Manage Pest control
Student management
- Engage students on needs and evaluations
- Formulate and / or advance procedures for dealing with a range of regular occurring types of crises related to the care of students housing facilities.
- Assessing incidents of student misconduct to determine appropriate courses of action
- Assist with application process during intake.
- Manage with intake/Vacate process.
- Assist with compliance and comformity to house rules
- Assist SLO and SLM with student life program.
- Assist SLO and SLM with event management.
- Lead the entry and exist inspection process
- Manage with key handover and register process for students
- Assist with student files and information
- Assist with any other assistance required by management team.
Reports
- Assist SLO with ensuring that accurate student schedules are maintained for the building
- Assisting with the compilation and presentation of the above with the building financial details and general information to form the monthly client report
- Assists with compilation of monthly management report pact. (Resident Managers report)
- Ensure that deadlines are met
Financial
- Assists PM with all aspects on the income and expenditure of the annual budget conformance
- Manages access control
Student Liaison
- Mentor student
- Residence Manager arranges for signage/ parking disc etc
- Inform PA if any changes to the vacancy schedule
- Student correspondence
- Filling/ archiving
- Annual audit preparation
- Manage student compliants with SLO
- Contractor liaison.
Student intake
- Lead the team with entry inspection
- Check maintenance logs for any maintenance issues before student move in
- Assist SLM with allocation of promoters/interns for duties to be performed during intake
- Monitor the handymen with timeous completion of maintenance issues
Maintenance and Reporting
- Assumes responsibility for the effective maintenance and reporting of financial records
- Prepare and motivate consolidated monthly reports for submissions to client.
Professional Business Relations
- Assume responsibility for ensuring professional business realtions with vendors contractors and trade professionals in conjunction with PSM
- Work to develop and maintain productive business relations with vendor suppliers contractors etc. In conjunction with PSM
- Acts as a liaison between the company and external contracts
- Ensure effective coordination of external services with the company operations in conjunction with PSM
- Manage access control and CCTV in conjunction with PSM
- Manage pest control in conjunction with PSM
- Obtain and convey information as appropriate
- Promote goodwill and positive image of the company
- Direct daily operations in conjunction with PSM/OM
Ad hoc
- Assumes responsibility for related duties as required or assigned.
- Ensure that the work are is clean secure and well maintained.
- Complete special projects as assigned.
- Report on Operational expenses foot traffic security incidents etc.
Advancing student accommodation
- Assumes reponsibility for advancing the student accommodation offering
- Participate in a variety of meetings committes and teams to communicate information regarding services programs area of opportunity and information as appropriate.
- Assist PM and participate in service model goal setting and planning including short term and long term planning.
- Collect and analyze a variety of data and information across various spectrums of the building as requested
Requirements
- Grade 12 (Matric) additional related property management training and/ or maintenance building background
- Minimum of 6 years related experience with at least 2 or more years of supervisory experience
- Student accommodation essential
- Strong proficiency in relevant computer and software packages i.e MS Office
- Excellent understanding of property management and student accommodation procedure.
- Knowledge of budgeting service contracts and leasing agreements.
