Job Description

Summary
Our health and human service agency client in Nutley NJ is seeking a Business Office Manager for their organization. This pivotal role will be vital in being the primary operations leader of the nonclinical parts of a healthcare operation. They will oversee the daily administration and business operations of the organizations Mental Health and Social Services programs. The Business Office Manager will mainly focus on managing the administrative staff program budgets client schedules regulatory compliance and efficient office operations.

The target salary range for this position is around $70000. The position is expected to be in the office Monday through Friday.

About the role
Critical parts of the job
  • Hire train supervise and evaluate the administrative staff including administrative interns.
  • Monitor revenue and expenses ensure accurate billing and invoicing practices and analyze financial reports.
  • Manage accounts payable (AP) and accounts receivable (AR)
  • Reviewing financial statements budgets inventory records and other documentation with ED and Directors/Managers
  • Overseeing appointment scheduling patient registration checkin/checkout procedures and managing patient flow.
  • Supervise daily practice operations such as billing debt collections security and occupational health and safety.
  • Addressing and resolving patient financial challenges including the collection of delinquent accounts and NSF checks and authorizing special financial agreements
  • Managing all organizational office supplies and technology systems including vendors software licenses and application subscriptions.
  • Provide administrative support to the Executive Director and act as a liaison with the Board of Directors.

Being a manager and a leader
This person will manage the daily operations. They will be the nervous system of the organization and play a pivotal role in making it an efficient operation. They will manage both people and processes.
Attention to detail
This person will be a goalie ensuring things dont slip through the cracks by managing a group of administrative professionals focused on smooth operations. Reports and analyses of the financials will also be a focus.
Being the source of information
This person will know just about everything going on with the organization. This could range from insurance knowledge and coding to when delivery of paper may be coming in. They will have their hands in just about every aspect of running this healthcare operation.

Qualifications
  • A college degree in business management or related field.
  • At least 5 years of managementlevel experience in Health Care office management.
  • Solid understanding of finance management including AP & AR.
  • Strong computer literacy.
  • Excellent organizational skills to handle multiple priorities while remaining professional and calm.
  • Ability to work with many diverse people and backgrounds.
  • Ability to organize and prioritize both their tasks and their staff.
  • Ability to be accurate even at a fast pace and highvolume level of work
  • The ability to maintain confidentiality due to the sensitivity of materials and information handled.
  • Ability to work independently and be selfdirected and flexible.
  • Ability to perform functions with minimal supervision.
The Nice to Haves
Bilingual in Spanish/English a plus.
