Reports To: Vice President of HR

Location: CA preferred

POSITION SUMMARY:

The benefitssupervisorpositionis responsible fordirecting and planning the daytoday operations of group benefits programs (group health dental vision and longterm disability workers compensation life insurance flexible spending planLeave of Absencesetc.. This position provides excellent customer service and designs quality benefits plans. Thebenefits managercontinually investigates new benefits programs improves existing programs and supervises and monitors benefits administration.Inform and guideemployees on benefits mattersregardingeligibility and coverage.Compile andmaintainbenefits records and documentation.Perform internal reconciliations and auditsto ensure accuracy and compliance.

ESSENTIAL JOB FUNCTIONS:

  • Analyze current benefits evaluating the use services coverage effectiveness cost plan experience and competitive trends in benefits programs andadvisesenior leadershipregardingrecommended solutions.
  • Collaboratewithbrokervendorsand administratorsto examinepossible plandesigns and cost impacts.Review both short and longrange cost estimates/projections and relevant statistical analysesregardingmodifications in benefits programs and implementation ofnew programsResearch analyze and recommend new benefits programs.
  • Own the open enrollment process. Design and distribute materials for benefits orientations open enrollment and summary plan descriptions. Provide training and support to management and employees.
  • Collaborate with consultants and also independently research employee benefits plans and vendors toidentifythose that present the best value.
  • Serve as primary contact forbrokers plan vendors and thirdparty administrators.
  • Coordinate transfer of data to external contacts for services premiums and plan administration.
  • Evaluate and revise internal processes to reduce costs and increase efficiency.
  • Createand maintain administrative procedures for assigned benefits processes.
  • Address employee benefit inquiries to ensure excellent support to employees and management.Ensure proper documentation of employee benefit enrollments agreements and communications.
  • Coordinate daily benefits processing. Handle enrollments COBRA terminations changes beneficiaries disability accident and death claims QMCSOs and compliance testing including ACA.
  • Manage andoversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plansand employee dataidentifyingand resolving discrepancies.
  • Manage the reconciliationandsubmission ofbenefit carrierinvoicesto accounts payable department.Identifyresearchand address any inconsistencies.
  • Validatebenefit carrier and HRIS data.Analyzeand resolve datadiscrepancies with carriers and/orHRIS System including addressing any benefit payroll deductions or discrepanciesanddetermine resolution.
  • Audit andsubmitHSAandFSAreports and payments.
  • Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
  • Additional duties may be assigned.

SPECIAL KNOWLEDGE SKILLS ABILITIES

  • Computer proficiency and technical aptitude with the ability to use Microsoft products including PowerPoint; experience with HRIS and benefits databases.
  • Experience withbenefit administration processes and regulations.
  • Knowledge of HRIS Administrationas it pertains to benefits(Workday HCM and/or ADP Workforce Now)
  • Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • Strong Excel and analytical skillsincludingattention to detailandaccuracy.
  • Strong communication (oral and written) skills required.
  • Ability to understand evaluate and makejudgmenton proposals (RFPs).
  • Knowledge of benefits contract language.
  • Knowledge of all pertinent federal and state regulations filing and compliance requirements both adopted and pending affecting employee benefits programs including the ACA ERISA COBRA and DOL requirements.
  • Knowledge of leaves ofabsencesand ability to research local leave laws a plus.
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.

QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS

  • 5yearsof Benefits experiencestrongly preferred.
  • ABachelorsdegree or a combination of successful equivalent work experience and education is strongly preferred.

PHYSICAL DEMANDS:

This position requires close visual acuity to perform activities such as: preparing and analyzing data and figures; viewing a computer terminal; extensive reading; Ability to perceive the nature of sounds at normal speaking levels with or without correction and making fine discriminations in sound; Exerting up to 20 pounds of force frequently and/or up to 10 pounds of force constantly to move objects; Must be able to remain in a stationary position and/or upright for prolonged periods of time traverse stairs reach overhead squat bend kneel stoop and crouch occasionally during 810hour work shift.
