We currently have an opening for a Legal Assistant in our Calgary Corporate Department on a14month maternity leave contract. The Legal Assistant will proactively provide legal professionals with a high level of support in an effort to improve practice efficiency including coordinating clientrelated activities. This position requires an excellent multitasker with strong administrative and communication skills and the ability to work in a fastpaced environment. The successful candidate will demonstrate initiative and have excellent client service and organizational skills.

Duties and Responsibilities:

  • Manages time resources workflow and deadlines of legal professionals which involves maintaining a filing system for all documents compiling and organizing materials required for legal professionals workinprogress opening up new files etc.
  • Interacts with clients to schedule appointments and exchange information.
  • Performs client account administration which involves ensuring that dockets are submitted reviewing and editing eprebills preparing invoices for review by legal professionals verifying fees and disbursements preparing writeoffs and addressing client inquiries regarding billing.
  • Handles confidential materials and documents.
  • Drafts correspondence and memoranda; compiles documents and completes conflict reports.
  • Provides clerical and administrative support such as filing answering the telephone making travel arrangements scheduling meetings transcribing dictations performing research as required photocopying and binding materials etc.
  • Receives researches prepares and follows up on audit inquiries.
  • Other responsibilities as assigned.

Education and Experience

The successful incumbent will have a Community College Certificate in a Legal Secretarial Assistant program or equivalent strong technical skills (MS Office suite) be a team player have a positive attitude and professional image and possess a minimum of three to five years of experience in a Legal Assistant role. An equivalent combination of education training and experience is acceptable.

Knowledge and Skills

  • Proficiency with computers including advanced Excel Word and Adobe skills. Experience with Aderant software would be an asset.
  • Excellent communication skills (both oral and written) focused listening interpersonal and negotiation skills.
  • Superior organizational skill and ability to anticipate and plan ahead.
  • Sound judgement and analytical skills.
  • Ability to work independently as well as thrive in a teambased environment collaborating with local team members and colleagues from other offices.
  • Attention to detail organized and time management skills along with the ability to balance daily work.
  • Ability to handle pressure and remain calm when dealing with deadlines and large volumes of work.
  • Positive attitude patience resilience and a sense of humour.

We are currently working in a hybrid work arrangement which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week
