Job Description

Position Description

This role will provide a variety of administrative support to the Director of PMO & Contracts at the Office of the County Engineer. The successful candidate for this position will be a reliable task oriented and an experienced Administrative Assistant. The ideal candidate must have experience in a similar role where assignments are complex and require considerable tact judgment confidentiality discretion creativity and initiative to be successful. The selected candidate will need to enjoy assisting an executive stay on schedule manage meeting requests calls travel and expenses along with assisting with preparations of meetings to include agendas and memos. Being able to professionally interact with executives government officials and constituents is a vital component of this job.

Job Duties:

  • Assist with processing filing and maintaining employee personnel files.
  • Coordinates space planning and space allocation for employees
  • Assists with new hire onboarding.
  • Maintain office supplies across divisions and buildings.
  • Coordinate and conduct a variety of special projects and events as assigned.
  • Provide highlevel professional support to executive leadership team.
  • Oversee coordination of highprofile special projects and assignments including researching writing providing analysis managing deadlines and maintaining confidentiality.
  • Coordinate analysis and development of final recommendations for staff reports and distribute to executive leadership division managers and other county stakeholders.
  • Independently research and prepare reports on operations and policy matters providing recommendations on alternative methods.
  • Track and edit commissioners court agenda items for assigned divisions.
  • Independently compose correspondence reports and memoranda for executive leadership.
  • Provide office support as required including scheduling and correspondence.
  • Engage in the annual budget development process for assigned divisions as assigned.
  • Uphold confidentiality by adhering to relevant laws regulations and company policies regarding data protection and privacy.

General Information

Position Type and Typical Hours of Work:

FullTime Regular 40 hours per week.

Subject to early mornings late evenings weekends and holidays at times depending upon the project or workload.

Salary:

Commensurate with experience based on 26 pay periods.

Physical Demands and Environmental Exposure:

Most assignments will be performed in an office meeting or operations command center environment but some field work may be required. May be required to work extended work hours during activation of disaster recovery operations for an unspecified length of time (varies based on the extent of the event).

This position requires bending stooping and lifting to 25 lbs. frequent walking standing sitting reaching and ascending/descending stairs.
