The role:
As a receptionist youll be the friendly face and welcoming voice that sets the tone for everyone who walks through the door or calls in. Your primary role is to create a positive first impression by greeting visitors clients and callers with warmth and professionalism. Youll be the goto person for directing people to the right departments answering questions and ensuring everything runs smoothly. Youll also take charge of managing appointments schedules and reservations keeping the office organized and on track. Beyond that youll help with vital administrative tasks like sorting mail managing office supplies and even lending a hand with basic bookkeeping. In short youll play a key role in facilitating seamless communication and making sure every visitor feels valued from the moment they arrive.
Key responsibilities:
Handling account inquiries and managing invoicing
Answering phone calls transferring them to the right person and taking detailed messages
Coordinating the creation of staff ID cards
Managing boardroom bookings and ensuring smooth meeting setups
Organizing travel arrangements including booking flights and accommodation for visitors
Overseeing facilities maintenance and addressing any issues
Communicating with service providers and contractors to ensure services are delivered as needed
Requesting and reviewing quotes for business needs
Updating and maintaining the emergency contact file
Ordering and distributing office stationery to keep supplies stocked
Purchasing consumables to maintain daytoday operations
Welcoming and assisting visitors with a friendly and professional attitude
Managing the suggestion box to capture ideas for improving the workplace
Experience & qualifications
We are looking for a dynamic and professional individual with the following qualifications:
Matric certificate and at least 6 months of experience in a receptionist role
Handson experience with handling invoices and basic accounts management
An articulate and friendly telephone manner with excellent communication skills
Resourceful and able to research and source information when required
Capable of assisting colleagues with queries in a helpful and professional manner
Comfortable with repetitive tasks and maintaining consistency
Ability to thrive in a fastpaced everchanging environment and stay calm under pressure
Strong sense of integrity confidentiality and professionalism
Excellent time management skills with the ability to multitask stay organized and prioritize effectively
Good computer literacy and proficiency with essential PC applications
