Job Description

Mystic Valley Regional Charter SchoolAssistant to the DirectorPosition SummaryThe Assistant to the Director plays a vital role in supporting the Director and core administrative team ensuring the efficient of the schools mission and annual goals. This position also oversees key schoolwide administrative functions to enhance operational effectiveness.Key ResponsibilitiesProject Management & Administrative SupportAssist in compiling and producing monthly board reports as assigned by the administrative team.Maintain and organize key board resources including electronic records (e.g. board meeting minutes database) and physical documents (e.g. board room materials at 4 Laurel St..Ensure compliance with Open Meeting Laws by creating and submitting public board meeting notices.Serve as the Directory Administrator for the Department of Elementary and Secondary Educations Security Portal.Utilize school project management software to oversee and track strategic reports and projects.Manage essential school operations including opening and closing procedures ensuring teachers receive student information promptly.Oversee school phone contracts and distribution including Verizon contract management.Maintain vendor relationships for critical operational equipment such as copier and printer maintenance.Coordinate and manage key documents including:Annual Report and related materialsParent/Student HandbookAugust Training ManualCharter renewal and site visit documentation for the Department of Elementary and Secondary EducationAccountability Plan and Student Opportunity Act SurveyServe as the primary point of contact for new staff onboarding in collaboration with Human Resources.Event Planning & LogisticsDevelop and maintain a master event planning guide.Provide administrative support for major school events including Lottery Night and Career Fair.Distribute policy books teacher calendars and rosters to new staff.Manage faculty and staff appreciation events including holiday parties and special occasion acknowledgments (e.g. ordering flowers for graduations condolences and celebrations).Oversee logistics for professional development events ensuring catering and scheduling align with administrative approvals.Organize all aspects of graduation including invitations programs flowers and catering coordination.Manage Picture Day logistics for students and staff.Coordinate sports banquets and athletic events including ticketing catering and setup.Procurement & Budget OversightHandle purchase requests for schoolwide functions including obtaining vendor quotes for printing flowers Tshirts and other materials.Oversee capital budget item orders (e.g. chairs tables cabinets) and manage vendor deliveries.Track and follow up on outstanding invoices and backorders.Community Engagement & CommunicationsManage the schools community service program including proposal approvals hours tracking and yearend reconciliation.Oversee outgoing communications to parents and staff via SchoolMessenger on behalf of administration MVRCS PTO and other departments.Maintain and update the school website as needed.Administer the lottery application and drawing process.Support parttime administrative staff with daily needs.Executive Support for the Director/SuperintendentManage the Directors schedule including meeting coordination conferences and travel planning.Screen and direct incoming calls emails mail and visitors.Greet and assist visitors at 4 Laurel St. and direct them to the appropriate office.Prepare and reconcile the Directors monthly expense reports and AMEX billing for core admin staff.Organize and maintain the Directors filing system and document management processes.Schedule and coordinate conference room bookings at 4 Laurel St.Sort distribute and manage incoming and outgoing mail faxes and courier deliveries.Maintain office supplies for 4 Laurel St. (excluding the Special Education office).Monitor and coordinate copier maintenance in collaboration with the Business Office.Ensure accurate updates to the schools phone directory and parking assignments.Prepare and distribute board reports.Maintain compliance records including:DESE notices and email communicationsDocumented parent concernsProfessional Development compliance binderRequired Skills & QualificationsStrong ability to maintain confidentiality and professionalism.Excellent oral and written communication skills.Ability to support and uphold school policies and procedures.Proven track record in project management and ensuring accountability for assigned tasks.Proficiency in Microsoft Office Suite (or equivalent) particularly in document formatting and advanced functions.Exceptional organizational and planning abilities.Strong problemsolving and analytical skills.High attention to detail and accuracy.Sound judgment and decisionmaking capabilities.Adaptable and flexible in a fastpaced environment.Teamoriented and highly collaborative.COVID19 vaccination is not required for this position.
