About North East Link

The Spark Consortium has been selected to deliver the Central Package of the North East Link Project Victorias biggest road project.

The Spark Consortiums Design and Construction Contractor which comprises Webuild CPB Contractors GS Engineering and Construction and China Construction Oceania will deliver the twin threelane tunnels and key interchanges for the project.

The Central Package will be delivered as a Public Private Partnership and provides threelane twin tunnels that will close the missing link in Melbournes freeway network from the M80 Ring Road to an upgraded Eastern Freeway reducing journey times and diverting heavy vehicles away from local roads.Up to 135000vehicles will use North East Link every day reducing congestion in the northeast while maintaining local roads.

About the role:

We are seeking a TBM Operations Advisor to join our TBM construction team at Watsonia to play a vital role in ensuring the smooth operation of construction projects by handling administrative logistical and operational tasks while supporting our Superintendent with the day to day tasks.

Please note this is a sitebased role with expectations to have your own vehicle and work during weekends at times to meet the operational requirements.

Key Responsibilities:

  • Provide support to the Superintendents and supervisor with any urgent or evolving tasks such as managing emails daily respond to immediate issues and help with problemsolving in operations scheduling or documentation.
  • Coordinate communication between different departments of workforce supervisors/superintendent and HR recruitment and payroll.
  • Process and track workforce hours by receiving sign on sheets daily from supervisors and manually adjust or delete timesheets in UKG which includes recording relevant notes for timesheet entries such as inclement weather sick leave annual leave etc.
  • Process and manage reclassification medical certificate induction & leave forms
  • Process and manage backpay requests by liaising with payroll and supervisors
  • Finalise all workforce 300 pays each Mondayto make sure payroll have enough time to submit payslip for Thursday pays
  • If issues with workforces mobile apps liaise with HR and IT to reset their phones
  • Print out Sign on sheets for each week and Workforce allocation sheets and distribute to relevant supervisors and leave in training room for Thursday new starters
  • Coordinate and manage crew member swaps with supervisors and notify payroll and site admin with any changes to ensure roster and cost code allocation is updated
  • Update and maintain Damstra cost code start dates & employee codes in the workforce allocation sheet.
  • Maintain the whiteboard with uptodate information on new starters
  • Ensure the new starter list is regularly updated and sent to safety recruitment and payroll before Thursday site induction. This will include the new starters supervisor employment start date position crew shift type shift start date.
  • Attend weekly meetings with Site Administrator to review and update cost codes
  • Keep the annual leave calendar up to date
  • Ensure signon sheets are up to date with any new starters.
  • Send Engineers signon sheet on a weekly basis
  • Collaborate with payroll every Tuesday to assist with any queries around timesheets making and confirming changes to make sure timesheets are submitted on time
  • Collaborate with recruitment to assist with onboarding making sure they allocate the right crew for UKG purpose
  • Attend weekly workforce meetings with recruitment and engineers to understand the forecast and expected new starters.
  • Organise monthly BBQs for workers order and pick up food from suppliers set up on site and prepare and cook the food
  • Pick up work vehicles from CPB Yard in Laverton
  • Airport pickups for contractors/visitors

Qualifications & Experience:

  • 5 years of experience in construction site administration logistics or operations support
  • Experience in tunnel projects or largescale infrastructure construction is preferable
  • Payroll experience is highly desirable
  • Blue Collar experience is highly desirable

Knowledge Skills & Abilities:

  • Proficiency in Microsoft Office (Excel Word Outlook)
  • Strong ability to liaise between site teams management suppliers and subcontractors
  • Problemsolving skills to address site challenges quickly
  • Attention to details and working independently
  • Ability to work to deadlines and manage conflicting priorities in a highvolume work environment.
  • Ability to negotiate and resolve conflicts with confidence but tactful
  • Strong level written and verbal communication
