Job Description

Seeking an entry level Office Assistant with room for growth within the office for the right candidate!

Job title: Office Assistant / Title Clerk
Location: Infiniti Roseville & Mazda Roseville
Shift: 8:00am4:30pm (MF)
Pay rate: $18.50 $23.50

Summary

Assists the office team by performing the following duties as well as organizes various dealership records in an efficient manner enabling easy and quick retrieval.

Essential Duties

  • Prepare tag and title documents.
  • Submit all legal transfer documents to the DMV.
  • Operates office machines such as computer calculator scanner copier telephone efax and typewriter.
  • Prepares issues and sends out receipts bills contracts titles invoices statements and checks as needed to support office.
  • Opens and routes incoming mail answers correspondence and prepares outgoing mail.
  • Daily bank runs to deposit items received.
  • Reviews documents for compliance and refers to appropriate dealership employee for resolution if necessary.
  • Tabulates and posts data in record books.
  • Compiles records and reports.
  • Computes costs taxes and payments.
  • Prepares and assists with stock inventoryand spreadsheets.
  • Researches and provides requested information to employees and management.
  • Maintains and purchases all office supplies.
  • Files within appropriate file system all dealership forms records reports correspondence or other important material.
  • Searches for and retrieves information contained in files as requested.
  • Keeps files current.
  • Copies records as needed.
  • Maintains professional appearance and neat work area.
  • Other tasks as assigned.

Qualifications

To perform this job successfully an individual must be able to perform each essential duty satisfactorily.

  • Clerical experience is required.
  • Title experience is a plus.
  • Ability to use Microsoft Applications including Excel.
  • Data entry.
  • Attention to detail is a must.
  • Ability to focus for extended periods of time with limited supervision.
  • Fast past setting.
  • Enjoy detailed work at a Computer/Copier/Scanner.
  • Filing large volume of documents.
  • Experience in Automotive is a plus.
  • All interested candidates must respond with an updated resume in order to be considered.

Education and/or Experience

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Mathematical Skills

  • Ability to add subtract multiply and divide twodigit numbers using whole numbers and decimals. Ability to compute rate and percent. Ability to perform these operations using units of American money.

Reasoning Ability

  • Ability to apply common sense understanding and to carry out simple (occasionally detailed but uninvolved) one or twostep instructions. written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Language Skills

  • Ability to read and comprehend simple instructions short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in oneonone and small group situations to customers clients and other employees of the organization.
  • Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals.
