WHO WE NEEDAre you passionate about museum learning and dedicated to creating an inclusive and welcoming experience for all visitors ROM is seeking a Programs Assistant to support the Community Engagement & Lifelong Learning team in delivering engaging and meaningful programs. In this role you will be the first point of contact for visitors ensuring a smooth and welcoming entry experience while assisting with program logistics and administrative tasks. You will play a key role in fostering a warm and inclusive environment particularly for firsttime museum visitors and vulnerable learners. HOW YOU WILL MAKE AN IMPACT- Greeting and assisting program attendees scanning tickets checking guest lists and ensuring a smooth entry process.
- Coordinating community group arrivals distributing tickets or wristbands providing essential visit information and facilitating an organized entry experience.
- Providing exceptional visitor support answering questions addressing concerns and fostering a positive and inclusive environment.
- Assisting with program logistics setting up signage preparing materials coordinating food drops and ensuring smooth event .
- Supporting speakers and facilitators guiding them to program locations and helping with setup.
- Supporting coordinators with program delivery as needed engaging with participants through conversations facilitating artmaking activities and encouraging active participation particularly among ESL learners by fostering inclusive and meaningful smallgroup discussions.
- Managing administrative tasks responding to emails and phone inquiries printing documents and maintaining organized communication through a shared email account.
- Creating a welcoming and accessible environment ensuring programs are inclusive and engaging for all visitors especially firsttime attendees and vulnerable learners.
WHAT YOU BRING- At least one 1 year of postsecondary education in a relevant field.
- A minimum of two 2 years of experience in a customerfacing role preferably in museums cultural institutions or communitybased programs.
- Experience working with vulnerable communities is a significant asset.
- Excellent interpersonal and communication skills engaging effectively with visitors of diverse ages abilities and language fluency.
- Strong problemsolving and adaptability skills able to work independently and collaboratively in a fastpaced environment.
- Ability to multitask and stay organized managing logistics visitor inquiries and administrative tasks efficiently.
- Proficiency in Microsoft Office (Outlook Excel Word) supporting administrative responsibilities.
- Flexibility with scheduling available for evening and weekend shifts with weekday daytime shifts during peak visitor periods (March Break July and August).
- Bilingualism is an asset particularly in French or other languages commonly spoken in Ontario such as Mandarin Cantonese Punjabi Urdu Tagalog Spanish Portuguese Arabic or American Sign Language (ASL).

- First interview: A 1hour inperson or virtual interview with the Hiring Manager and a member of the HR team. This indepth interview will focus on your skills and how they align with the teams and ROMs needs.
- Second interview: A 1hour inperson meeting with the Hiring Manager and relevant team members. You may be asked to present a preassigned case study and discuss scenarios relevant to your role. Depending on the position you might also be given a tour of ROM and receive a preview of your responsibilities and interactions.
- Third Interview: a final interview with key stakeholders.
