As our firm continues to grow we are seeking a compassionate and detailoriented Client Services Specialist to serve as the first point of contact for potential clients and a continuing liaison for those individuals who become clients of Van Cleave Law. This role is crucial in shaping the initial experience of those seeking our help and ensuring they receive compassionate support and clear guidance throughout their legal journey.

The Client Services Specialist will be responsible for handling incoming calls assessing case viability coordinating with attorneys and maintaining strong relationships with clients throughout their legal journey. In a legal landscape where genuine care is often overlooked this role is essential in upholding Van Cleave Laws commitment to treating every individual with dignity and respectwhether they become a client or not.

What youll do:

  • Call Management: Serve as the first point of contact for incoming calls ensuring a compassionate and professional experience for all potential clients. Answer inquiries gather preliminary details assess whether the firm can assist or provide referrals and determine the next steps in the intake process.
  • Case Assessment: Conduct initial screenings to evaluate the viability of potential cases gathering pertinent information to assist in case evaluation.
  • Client Engagement & Support: Maintain ongoing communication and foster strong relationships with clients by providing support addressing inquiries and guiding them through their legal journey. Ensure clients understand their next steps provide case updates and collect any additional documentation as needed.
  • Medical Records Coordination: Request and follow up on medical records from healthcare providers ensuring timely retrieval of necessary documents for case evaluation. Track client treatment progress and coordinate the collection of records from medical facilities.
  • Appointment Coordination: Schedule consultations between clients and attorneys ensuring timely and efficient interactions. Confirm appointments send reminders and follow up to ensure clients are prepared with any required documentation.
  • Document Preparation: Assist in drafting letters settlement brochures and other legal documents as needed to support case development and client communications.
  • Administrative Support: Assist with various office duties including typing scanning and copying to support overall firm operations.


What were looking for:

  • Experience: A minimum of 23 years in a clientfacing role preferably within a legal setting. Experience with drafting letters settlement brochures or other legal documents is a plus.
  • Communication Skills: Exceptional verbal and written communication abilities with a talent for making clients feel heard and valued.
  • Empathy and Compassion: A genuine desire to help individuals treating each person with dignity and respect regardless of case viability.
  • Organizational Skills: Strong attention to detail with the ability to manage multiple tasks and priorities effectively.
  • Technical Proficiency: Proficiency in Microsoft Office (Word Excel Outlook) to manage client records correspondence and documentation efficiently. Experience using Filevine is highly advantageous although not required.
