The Role:

We are seeking a parttime 30.4 hours per week) Office & Workplace Safety Manager to join our busy Sydney office in a 12 month max term role. In this role you will be at the heart of maintaining a safe efficient and vibrant environment at the AP Sydney CBD office. Youll be responsible for overseeing facilities management coordinating contractors and ensuring workplace health and safety (WHS) standards are met. Youll also manage physical security controls and streamline office operations to create a seamless workplace experience. Above all youll ensure compliance with safety and risk regulations all while fostering an engaging inclusive and dynamic workplace for everyone.

Your day to day will see you responsible for:

Office & Facilities Management:

  • Oversee daily operations of a busy threelevel office in Sydney CBD ensuring everything runs smoothly and is wellmaintained.
  • Manage office maintenance repairs and servicing coordinating with contractors and building management to maintain high standards.
  • Handle vendor and supplier relationships including cleaners security catering couriers electricians plumbers and IT support.
  • Keep office policies manuals and procedures up to date and ensure they are communicated effectively.
  • Manage physical security including access control building passes and security systems.

Workplace Health & Safety & Risk Compliance:

  • Lead WHS efforts ensuring compliance with safety laws and AP policies.
  • Chair or actively participate in the AP WHS Committee and promote safety initiatives.
  • Maintain first aid programs ensuring supplies trained personnel and compliance.
  • Conduct regular safety audits risk assessments and reviews of emergency procedures.
  • Ensure compliance with risk policies and handle necessary reporting.
  • Serve as Fire Warden Coordinator ensuring AP meets evacuation and fire safety requirements & lead fire warden training and emergency drills.
  • Work with building management to align fire safety plans across tenants.
  • Support ergonomic assessments and ensure the office meets WHS standards for employee health and wellbeing.

Office Operations & Employee Experience

  • Work with the Receptionist to ensure smooth frontdesk operations and visitor management.
  • Support onboarding and offboarding including office inductions and workspace setups.
  • Contribute to workplace experience initiatives such as events and wellness programs.

Process Maturity & Governance

  • Implement office procedures improve supplier agreements and maintain documentation to enhance operational efficiency.
  • Ensure all office processes and communications are documented and accessible on the company intranet.

Administration & Financial Oversight

  • Track office procurement expenses invoices and budget forecasts for facilities operations.
  • Regularly assess and improve office policies supplier contracts and cost efficiencies.

To be considered for this role you will need:

  • 3 years of experience in a similar role.
  • Robust knowledge of WHS legislation risk management and compliance.
  • Relevant certifications in facilities management or workplace safety.
  • Experience in managing physical security (building access emergency procedures contractor coordination).
  • Familiarity with contractor and vendor management in an office setting.
  • Experience ensuring compliance with tenancy requirements and collaborating with property managers.
  • Strong relationshipbuilding skills with internal and external stakeholders.
  • Excellent problemsolving attention to detail and proactive approach.
  • Strong written and verbal communication skills including creating and maintaining documentation.
  • Proficient in Microsoft Office Suite (Word Excel Outlook Teams PowerPoint).
