Position Overview:
Under the direction of the VP of HR the Office Manager is responsible for overseeing the day-to-day tasks of the North America Sporting Goods (NASG) office located in Vancouver WA while supporting a positive in-person workplace culture in accordance with company policies and procedures. Duties include front desk coverage administrative support for the leadership team coordination of travel and company events office supply and facilities management and light HR coordination. This role serves as a key point of contact for staff visitors and executive guests and plays an essential role in maintaining an organized professional and welcoming office environment.
Responsibilities:
Variety of administrative tasks while supporting the management team and front desk:
Office Presence & Culture:
Be on-site daily with a positive professional demeanor to support a welcoming collaborative workplace
Greet and assist visitors; manage guest notifications and front desk activity
Administrative Support:
Support the leadership team with scheduling document preparation and general administrative needs
Track and submit expense reports for supplies travel and meals (e.g. via Concur)
Maintain internal communications including company updates and shared resources
Prepare internal and external corporate documents reports and presentations
Track expenses and prepare detailed expense reports
Office Operations:
Manage daily office tasks such as mail distribution postage and breakroom organization
Order and maintain supplies business cards and name plates
Event & Travel Coordination:
Plan and coordinate company events including lunches volunteer activities trainings and celebrations
Arrange travel accommodation and expense reporting for staff visitors and executive guests
HR & Cross-Team Support:
Partner with HR on light coordination tasks such as onsite interviews meeting room scheduling and onboarding logistics
Assist with ad hoc projects across departments as needed
Marginal Job Functions:
Other projects as needed.
Education:
Associates degree required Bachelors degree preferred
Experience:
Minimum of 2 years in an office manager administrative assistant HR coordinator or similar role
Experience supporting executives and/or coordinating events is a plus
Other Requirements:
Must be available on-site during regular business hours
Demonstrated proficiency in computer software (Word Excel PowerPoint Outlook Teams and SharePoint).
Ability to multitask and prioritize in a deadline-driven environment
Professional demeanor and strong interpersonal skills
Occasional local travel required for errands and the post office
Valid drivers license required with acceptable driving record
