Job Role :

1- Employee Attendance Management

  • Manage the attendance monitoring process, including the setting up and maintenance of relevant databases and the recording of reasons for absence;
  • Work closely with the HR team to assist in an effective attendance management service;
  • Monitor the sickness records in line with policy and advising the related Business Partner and line managers on the Attendance Management policy and procedures to enable them to provide advice, guidance and assistance to address day-to-day and longer term issues relating to Attendance Management;
  • Assist in the achievement of the Attendance Management Team’s actions within the Departmental/Division Plans;
  • Assist in the development, coordination, monitoring and reviewing the policies and procedures relating to Attendance Management as and when required;
  • Reviewing vacation balances Employee for accuracy and to ensure they are not carrying more than their annual vacation at any time or that they do not have a negative vacation balance;
  • Record and file any medical evidence to support authorized absence on system;
  • Responsible and accountable for improving overall organization attendance and reducing the level of persistent absence in liaison with the head and respective Business Partner;
  • Liaison with related team regarding attendance irregularities in order to improve attendance;

2- Attendance Systems, Reporting & Analysis

  • Assist in the improvement of systems in place to enhance Attendance Management processes which enhance effectiveness and efficiency;
  • Management of the related attendance system and Process approved absences according to the Attendance policy;
  • Generate attendance and punctuality data/ reports and provide management data for attendance;
  • Analyze employee data and design periodic and ad-hoc reports;
  • Access, read and analyze absence data throughout the working day to establish patterns that might need to be followed up from a safeguarding perspective and refer as appropriate;
  • Provide reports and statistics to managers related to accrued vacations and patterns of absenteeism;
  • Assist in opportunities to improve reporting procedures; and maximize the effective and efficient delivery of services;
  • Maintain and develop attendance monitoring systems, written and statistical reports on sickness absence in line with policy and procedures.
  • Administer all the necessary IT administration, maintenance and report generation;
  • Assist in developing and maintaining a robust and functional IT strategy that maximizes the use of technology in respect of Attendance Management;
  • Maintain accurate and robust databases relating to Attendance Management;
  • Contribute to the maintenance of a comprehensive and accurate filing system;
  • Maintain accurate and organized records relating to attendance;

3- Other

  • Proactively take responsibility for self-improvement by staying well-informed of developments, knowledge and innovations in relevant field of expertise;
  • Other duties as directed by supervisor or other superiors;
  • Communicate changes to the Attendance Management Policy and its related procedures to all stakeholders.
