Position Overview:
We are seeking a highly skilled and detailoriented Orient Express Coordinator to join our esteemed Orient Express Reservation Sales Team reporting to the Global Reservation Contact Centre. In this pivotal role you will be providing comprehensive administrative support that will empower the team to excel in their endeavors. Your expertise in backoffice operations will be instrumental in ensuring seamless of tasks ultimately contributing to the grandeur and operational success of the Orient Express brand.
Core Responsibilities:
- Collaborate closely with the Orient Express Senior Contact Centre Operations Manager and Supervisor aiding in the organization of daily activities to enhance efficiency and productivity.
- Deliver insightful sales reports for the Orient Express Reservation Department on a daily weekly and monthly basis. Your analytical skills will help the team monitor performance and make informed decisions.
- Utilize the Payment Service Provider (PSP) tool (such as Stripe) to diligently follow up on all payments ensuring financial transactions are tracked and completed with precision.
- Oversee the departments monthly schedule expertly managing timeoff requests and ensuring optimal staffing levels.
- Supervise activities within the BtoB portal (such as HERA and ANAIS) ensuring information is available and uptodate.
- Systematically arrange and enhance the organization of Orient Express folders in SharePoint facilitating team access to critical information and resources.
- Assign CRM cases to team members in a thoughtful manner balancing workloads effectively while meeting service level targets.
- Proactively send communications to team members regarding important updates including VIP visits and other significant events to ensure everyone remains informed and coordinated.
- Schedule and plan meetings managing the teams agendas to maximize efficiency. Collaborate with the Office Coordinator to secure suitable meeting spaces.
- Skillfully arrange all travel logistics for the Orient Express Team based in Barcelona encompassing flights accommodations itineraries and any additional travel needs thereby ensuring a smooth travel experience.
- Accurately log and disseminate meeting minutes providing a reliable reference for future discussions and decisions.
- Other duties as assigned as determined by the growth of the Orient Express Global Reservation Contact Centre
