Description

Rothman Orthopaedics is looking to hire a full time Facilities Supervisor based in our Center City Philadelphia office!

Schedule: Monday through Friday 8 AM to 4 PM

Job Summary:

The Facilities Supervisor is responsible for overseeing and managing the planning coordination and of various facilities related projects within the organization. This includes renovation construction and maintenance projects to ensure facilities are safe functional and aligned with the companys operations goals. The Facilities Supervisor will work with internal team external contractors and vendors to ensure project success adherence to budgets and timely delivery.

Key Accountabilities:

Daily communication with facility location managers to address immediate concerns and issues lead effort in documentation and organization of information for each location communicate project or task plans with internal and external sources to ensure timely on budget and accurate completion of issues perform necessary followups.

Essential Duties:

  1. Coordination of individual requests from locations to understand needs and timing. Work with appropriate resource for solution including scheduling timelines quotes and all communication until issue is closed
  2. Vendor and Contract Management: source and evaluate contractors and vendors for facility related projects; negotiate contracts and terms with external parties; ensure contractual terms are communicated to stakeholders; and ensure installations services is completed per the terms of quote or agreement.
  3. Compliance and Safety: ensure all facilities have documented compliance and safety information in lease software and on site for Office personnel. Liase with internal/external sources to understand needs and coordinate projects/inspections as needed
  4. Facilities Maintenance and Upkeep: ensure maintenance contacts are known in each facility or coordinate as needed during project planning; prioritize corrective and preventative maintenance within reasonable timelines; collaborate with internal and external resource for continuity of operations during construction renovations or ad hoc needs.
  5. Stakeholder Communications: Serve as contact for assigned projects; provide regular status updates to management and other key stakeholders; prepare and send reports summaries or other relevant information
  6. Risk Management: identify potential risks related to project delays costs and scope changes; help develop and implement strategies or solutions to minimize disruptions; handle conflict resolution and problem solving when issues arise.
  7. Budget and Cost Management: Coordinate Purchase Orders and track invoices as needed; assist in coordination of inventory and related items for budgeting

Qualifications:

  • HS Diploma required Associate or Bachelors Degree in construction facilities or related field preferred.
  • 5 Years of experience in facilities support role supervisory or similar proven experience managing multiple projects or tasks
  • Strong Knowledge of MS Office software
  • Visual Lease knowledge is a plus
  • Knowledge of Facilities Software
  • Excellent verbal and written communication skills
  • Excellent organizational skills
  • Ability to prioritize and perform in a fast paced environment
  • Ability to work independently and collaboratively in a team environment
