Job Title: Executive Assistant
Location: Remote (Latam)
Hours: 9:00 AM – 5:00 PM EST (Monday to Friday)
Salary: $1000 – $1500 per month

We are a dynamic and growing jewelry auction company seeking a dedicated and professional Executive Assistant to support our leadership team. Specializing in highend jewelry auctions we work with a wide variety of clients including collectors dealers and designers. We are looking for an organized reliable and detailoriented individual to assist with auction coordination and daytoday administrative tasks.
Job Description:
As a Remote Executive Assistant you will support the leadership team by managing schedules communications and coordinating various aspects of the auction process. You will assist with organizing and preparing auction materials ensuring smooth operations and providing administrative support. The ideal candidate will be proactive techsavvy and capable of handling multiple tasks at once. Previous experience in auction coordination or the jewelry industry is a plus.
Responsibilities:
- Manage and maintain the executive’s calendar scheduling meetings appointments and travel arrangements.
- Serve as the point of contact for communication between executives clients and other stakeholders.
- Organize and prioritize incoming emails phone calls and other correspondence.
- Assist in the coordination of auction activities including cataloging items preparing auction lots and liaising with consignors and buyers.
- Work closely with the auction team to ensure the timely organization of auction materials including descriptions images and item details.
- Coordinate the logistics of auctions ensuring that all participants receive relevant information and that items are prepared for viewing display and shipping.
- Conduct research related to upcoming auctions market trends and potential consignors.
- Assist with invoicing payment processing and maintaining financial records for auctions.
- Prepare reports presentations and documents as needed for auctionrelated meetings and events.
- Handle confidential information with discretion and professionalism.
- Perform general administrative duties such as filing data entry and office organization.
Requirements:
- Proven experience as an Executive Assistant or in a similar administrative support role with experience in auction coordination a plus.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficient in using office software such as Google Workspace Microsoft Office and online communication tools (Zoom Slack etc..
- Ability to work independently and remotely with minimal supervision.
- Prior experience in the jewelry auction or luxury goods industry is a plus.
- Attention to detail problemsolving skills and the ability to handle sensitive information.
