Job Description

Are you ready to dive into the exciting world of commercial plumbing administration We re seeking a highly organized and adaptable Administrative Assistant to become the backbone of our client s operations. In this role you ll be at the forefront of project management handling everything from tender preparation to document control. You ll work with industryleading software like Simpro and Bluebeam giving you the opportunity to expand your tech skills while making a real impact on the company s efficiency and growth. Responsibilities

  • Craft professional handover manuals and tender documents that showcase our client s expertise and win new projects
  • Manage daytoday administrative tasks including scheduling and basic payment reconciliation to keep operations running smoothly
  • Master industryspecific software like Simpro and Bluebeam to streamline project management and document control processes
  • Keep tender forms and project pricing information uptodate ensuring our client stays competitive in the market
  • Create and maintain an efficient system for organizing job folders making information easily accessible to the team
  • Support contract and project administration becoming an integral part of the project lifecycle
  • Utilize the Estimate One portal to log and track quotes helping to secure new business opportunities
  • Develop and maintain detailed spreadsheets for quote and project tracking providing valuable insights for decisionmaking
  • Take charge of setting up basic Occupational Health and Safety documents including Job Safety Analyses (JSAs) to maintain a safe work environment
  • Learn financial processes to provide backup support expanding your skills and value to the team

Requirements

  • Proficiency in Microsoft Excel (basic to intermediate level) your spreadsheet skills will be put to good use!
  • A keen eye for detail and a passion for keeping things organized in a fastpaced environment
  • Quick learner with the ability to adapt to new software systems techsavvy candidates will thrive in this role
  • Excellent written and verbal communication skills to effectively collaborate with team members and create professional documents
  • Basic understanding of project management principles we ll help you develop this further on the job
  • Selfstarter mentality with the ability to work independently and juggle multiple priorities
  • Positive attitude and willingness to grow within the commercial plumbing industry
  • Experience in the construction or plumbing industry is a plus but not required we value your administrative skills and eagerness to learn!
