Job Description: Business Admin Assistant
Work Schedule: Monday Friday 9am 5pm Sydney Australia time zone (6AM 2PM Manila Time)
Scope
- Fulltime position (35 hours/week) with remote work arrangement
- Direct reporting to the business owner
- Handling administrative tasks for a 5person team
- Managing confidential business and client information
- Potential access to company email and accounting systems
Responsibilities
- Schedule and manage meetings for the business owner and team
- Handle contract management including sending tracking and filing client contracts
- Manage talent communications including rate confirmations and invoice processing for photographers and videographers
- File documents and maintain organized digital systems
- Assist with email management and communication
- Process invoices and liaise with the accounting department
- Support general administrative tasks as needed
Requirements
- Excellent organizational and time management skills
- Strong attention to detail and ability to handle confidential information
- Proficiency in email communication and basic office software
- Experience with or willingness to learn accounting software like Xero
- Ability to work independently and take initiative
- Strong English language skills both written and verbal
- Comfortable with potential phone communication with clients and stakeholders
