Job Responsibilities
- Devising and maintaining office systems including data management and filing
- Arranging travel visas and accommodation and occasionally travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
- Screening phone calls enquiries and requests and handling them when appropriate
- Meeting and greeting visitors at all levels of seniority
- Organising and maintaining diaries and making appointments
- Dealing with incoming email faxes and post often corresponding on behalf
- Managing MDs properties runs errands look after the cars support another PA.
- Organising and attending meetings and ensuring the manager is well prepared for meetings
- Manage properties related matters such as preparing tenancy agreements liaise with tenants on agreement renewal/ termination liaise with contractors on renovation matters and engage with property agents.
- Liaise with lawyers on legal matters
- Adhoc task as assigned and necessitated by the management
Job Requirements
- Fluent in Mandarin and other dialects
- Possess good attitude and strong commitment towards work
- Experience in tenancy dealing sales and purchase agreement tenancy agreement handover of property to tenants showing properties and filing etc
- Possible dealings with some contractor (eg if tenants complain about broken aircon or leaking or something like that) payment of assessments maintenance correspondence for third parties or management etc
- Someone who has strong admin skills too filing hardcopy and soft copy and e filing
