Job Description

This is a remote position.

Virtual Rockstar is seeking a fulltime Front Office Medical Virtual Assistant to join our client s physical therapy practice in Texas. As a Medical Virtual Assistant you will play a crucial role in our client s practice by handling front desk duties and assisting with billing tasks. You will be responsible for ensuring seamless communication with patients scheduling appointments managing paperwork and supporting the billing process. The ideal candidate will be detailoriented organized and proficient in multitasking. Fluency in both English and Spanish is required for this position.

Responsibilities:

  • Answer phones and respond to patient inquiries promptly and professionally.

  • Schedule appointments and manage the appointment calendar efficiently.

  • Check emails and faxes regularly responding or forwarding as necessary.

  • File patient documents accurately into the electronic medical records (EMR) system.

  • Follow up with physician offices and document communication in the EMR.

  • Ensure that patient care plans are uptodate and notify therapists of upcoming reevaluations or progress reports.

  • Contact new patients the day before their evaluation appointment to confirm details.

  • Verify insurance coverage and submit insurance claims accurately and in a timely manner.

  • Notify treating therapists of any claims in error status and take appropriate action.

  • Follow up with insurance companies to provide requested information.

  • Ensure that insurance information matches our systems accurately and conduct regular checks.

  • Monitor and communicate with therapists regarding patients approaching Medicare cap or total visits approved by insurance.

  • Track and report specified key performance indicators (KPIs) for weekly and monthly reporting.

Additional Responsibilities:

  • Assist with social media marketing initiatives and email campaigns to promote our practice.

  • Send Google Review requests to patients to gather feedback.

  • Create instructional Loom videos for various processes and update them as needed.

  • Experience with EMR systems such as PT Everywhere Flodesk and Canva is preferred.



Requirements

  • Previous experience in a medical office setting preferably in a similar role.

  • Proficiency in multitasking and managing competing priorities effectively.

  • Excellent communication skills and a professional demeanor.

  • Strong attention to detail and accuracy in documentation.

  • Ability to work independently and as part of a remote team.

  • Fluency in both English and Spanish is required.

  • Familiarity with EMR systems billing processes and social media platforms is an asset.
