Job Description

Job Title: Event Assistant

Location: Philadelphia PA

Job Type: FullTime

Job Summary:

We are seeking a dynamic and detailoriented Event Assistant to join our team. The ideal candidate will support the Event Coordinator/Manager in planning and executing a variety of events ensuring they run smoothly and efficiently. This role requires strong organizational skills excellent communication abilities and a passion for creating memorable experiences.

Key Responsibilities:

  • Event Planning Support:

    • Assist in the development and planning of events from concept to execution.
    • Coordinate with vendors suppliers and other external parties to ensure all event logistics are arranged.
    • Help prepare event proposals budgets timelines and runofshow documents.
  • Event Execution:

    • Provide onsite support during events including setup registration guest assistance and teardown.
    • Manage event materials and supplies ensuring everything is in place and in good condition.
    • Address any issues or emergencies that arise during events to ensure a seamless experience for attendees.
  • Administrative Duties:

    • Maintain event databases schedules and calendars.
    • Assist with the creation of event marketing materials such as flyers invitations and social media posts.
    • Handle RSVPs and attendee communications providing information and support as needed.
  • PostEvent FollowUp:

    • Collect feedback from event participants and stakeholders to evaluate the success of the event.
    • Assist in preparing postevent reports and analysis.
    • Help with the reconciliation of event expenses and budget tracking.

Qualifications:

  • High school diploma or equivalent required.
  • Familiarity with event management software and tools is a plus.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and Google Workspace.
  • Ability to work both independently and as part of a team.
  • Attention to detail and problemsolving capabilities.
  • Strong communication and interpersonal skills.
  • Exceptional organizational and multitasking abilities.
