Job Description

Position Title: Executive Assistant
Work Setup: Work On Site
Schedule: 01:00AM 09:00AM PHT
Salary: Php 40000
Signon Bonus: TBC

JOB DESCRIPTION FOR AN EXECUTIVE ASSISTANT

Your Responsibilities as an Executive Assistant would be:
Independently perform a full range of varied complex sensitive highly responsible and confidential office administrative secretarial advanced clerical and routine programmatic support functions of a general or specialized nature in support of assigned programs division and/or department with only occasional instruction or assistance.
Plan and organize work activities; recommends improvements in workflow procedures and use of equipment and forms; implement improvements as approved; develop and revise office forms and report formats as required.
Calendar Management: Efficiently schedule and manage appointments meetings and conferences to optimize the executives time.
Email Management: Monitor prioritize and respond to emails on behalf of the executive and draft professional correspondence as needed.
Research and Reporting: Conduct Analyical works with data research on various topics compile information and prepare reports and presentations as required.
Task Prioritization: Assist in identifying and prioritizing tasks and projects ensuring deadlines are met.
Data Management: Organize and maintain electronic files databases and documents.
HR and Legal Support: Prepare and manage legal documents for your executive new hires and contractors.
Communication: Act as a liaison between the executive and internal/external stakeholders ensuring effective communication.
Expense Management: Track expenses prepare expense reports and reconcile receipts.

Qualifications as an Executive Assistant:
Graduate of any Bachelor s Degree.
Minimum of 3 years of work experience as an Executive Assistant or other similar administrative support experience is strongly preferred.
Proficiency and proven handson experience with office management systems and analytics
Ability to adapt to flexible working hours including weekends and adjust based on travel needs
Exceptional communication and written skills.
Extensive knowledge of principles and practices of office administration.
Proven handon experience exercising discretion and confidentiality with sensitive company information.
Topnotch organizational skills with an ability to think proactively multitask and prioritize daily workload.
Exceptional conceptual thinking resourcefulness diligence attention to detail and creative problemsolving skills.
Highly organized with topnotch ability to work with limited supervision.
Adept at meeting deadlines in a fastpaced quickly changing environment.
Technologically proficient social media savvy and has indepth knowledge with online calendars and/or cloud system.
Exceptional time management leadership and organization skills.
Indepth knowledge of principles of business letter writing and report preparation.
Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
Exceptional knowledge of methods and techniques of proper phone etiquette.
A team player with the initiative to step up into the leadership responsibilities when the need arises.
