Responsibilities:
Supervising the daytoday tasks of the thirdparty employees (security cleaners and drivers) and ensuring they are properly generally engaged ensure the office is running professionally and in a responsible manner.
Oversee the management of office consumable (office materials like: stationary cleaning & hygiene): that will include: collecting the requests on monthly bases maintaining the stock monitoring the use.
Ensure the confidentiality integrity and security of sensitive documents and information
Coordinate with HR department to address temporary employee documentation needs.
Manage daytoday office operations including supplies inventory equipment maintenance and office cleanliness.
Oversee the reception area greet visitors and handle incoming calls and correspondence.
Ensure the office environment is welcoming and professional for staff and visitors.
Ensure compliance with health and safety regulations and conduct regular safety inspections.
Provide administrative support to senior management including scheduling meetings managing calendars and preparing reports.
Serve as the primary point of contact for internal and external stakeholders.
Obtain further information for incomplete data in the database
Respond to requests for information and access relevant files
Ensure that office has sufficient office supplies
Facility management: equipment repairs utilities water supply cleaning 24hrs power supply etc.
Assist in the coordination of administrative and office management details
Assisting with the general office operations both internal and external.
Coordinate office meetings teambuilding activities and corporate events.
Facilitate communication within the office and ensure information is disseminated effectively.
Support special projects and initiatives as needed ensuring deadlines are met and objectives are achieved.
Collaborate with various departments to improve office processes and increase efficiency.
Oversee document management processes including the creation organization storage and retrieval of both physical and digital documents.
Implement and maintain document management systems to ensure easy access and security of important records.
Ensure compliance with data protection regulations and maintain the confidentiality of sensitive information.
Develop and enforce document management policies and procedures to ensure consistency and accuracy in recordkeeping.
Train staff on proper document handling and management practices
