Job Description

This is a remote position.

  • Gain comprehensive understanding of the mentoring platform and CRM system to support internal processes
  • and data management.
  • Assist with the data entry of mentees and mentors into the mentoring program ensuring their online profiles are
  • accurate and complete.
  • Schedule and organise onboarding interviews ensuring timely coordination and documentation.
  • Support the matching process by preparing and maintaining detailed profiles and match criteria within the
  • mentoring platform and CRM.
  • Track and record the activation of mentoring cohorts ensuring adherence to timelines.
  • Maintain records of quarterly checkins and compile feedback and testimonials from mentors and mentees for
  • the Head of Marketing.
  • Collect and analyse data from quarterly surveys ensuring a high response rate by following up through
  • automated reminders and communication logs.
  • Manage a ticketing system or inbox to respond to queries from mentors and mentees ensuring all
  • communication is tracked and expectations are managed.
  • Document common issues and solutions to improve the FAQ section and support resources.
  • Schedule and document endofprogram interviews with mentors and mentees.
  • Collect and analyse feedback to encourage participation in followon programs.
  • Regularly update and maintain accurate participant information on the mentoring platform CRM and project
  • management spreadsheets.
  • Ensure data integrity and consistency across all systems.
  • Assist with various administrative tasks such as preparing reports updating records and organising digital files.


Requirements

  • Strong proficiency with CRM systems and data management tools.
  • Strong ability to manage multiple tasks and timelines effectively
  • Detailoriented with a strong commitment to accuracy and data integrity.
  • Proficiency in Microsoft Office Suite (Excel Word PowerPoint).
  • Strong English Language Skills written and verbal
  • Bachelors degree in Business Administration Information Systems or a related field.
  • Proven experience in a similar support role preferably within a mentoring or educational program.
  • Experienced in using CRM systems and online platforms

At least 3+ years experience in Administration; Scheduling Proficiency in CRM and ERP systems, with demonstrated experience in data management and system administration; Intermediate Word and Excel skills; Excellent verbal and written communication skills; Ability to work under pressure and meet deadlines.
