Facility Coordinator 12 months Brussels

Our client is currently looking for a Facility Coordinator for a 12month contract in Brussels. Day rate is negotiable.

You are the point of contact within our organisation for following up all tasks related to Facilities. Together with your colleagues you are partly responsible for the operational execution and followup of the procurement processes of goods and services. You will report to the Purchase team lead.

Tasks and responsibilities:

Facilities:
You are responsible for following up on the periodic maintenance of all facilities; you are the point of contact for the building manager and the cleaning company.
You provide a centralised overview of reported problems as well as feedback on actions taken
You are responsible for liaising with suppliers (soda machines water fountains coffee machines fruit). You organise their distribution (inhouse or by the supplier)
Managing the budget and stock of office equipment and placing orders.
You take care of all catering orders via the chosen suppliers.
You are responsible for visitor access (badges parking spaces etc.) and mail management
Meeting Room Management (managing meeting rooms and providing the necessary equipment)
Follow up on erroneous invoices (without PO number and erroneous amounts) for all purchases (fixed price purchases) related to Facilities.

Sourcing:
You will be responsible for following up purchases related to Facilities:
Management of the functional mailbox in consultation with colleagues o For the processing and administrative handling of the purchase files you work closely with your colleagues in Sourcing and Accounting to ensure that all purchase requests are followed up correctly and on time in the relevant systems (SAP from 2024 onwards).
You are familiar with public procurement law and this in the special sectors (IT) or are eager to study and learn this.
You ensure the followup of all orders placed from A to Z and keep all parties involved informed of the progress of the files
Processing incorrect invoices received in consultation with our accounting department (e.g. requesting a credit note)
Preparation of reports at the request of the Purchase team lead
Depending on your time commitment you may also be entrusted with the following tasks:
Participating in projects related to the procurement process and facilityrelated projects.


Requirements

Profile:
Bachelor degree in an administrative field or equivalent through experience
At least 3 years experience in a similar position of Facility Coordinator
Good knowledge of Dutch French and English both spoken and written
You are handson and like to roll up your sleeves
You are strong in planning and organising and can set priorities
You have integrity and can work autonomously as well as in a team
You are communicative and have good thinking skills
You have an eye for detail (work accurately) are organised and
structured and like to take initiatives
You have no problem working with deadlines (under pressure)
Good knowledge of MS Office (mainly Word and Excel Access is a
plus point)
Knowledge of SAP (SBP Module) is a plus
Experience in an IT environment is a plus
