Job Summary:

As an Administrative Assistant you will play a pivotal role in supporting the efficient functioning of our operations. You will be responsible for various administrative tasks to facilitate the smooth operation of our property maintenance services. This role requires strong organizational skills attention to detail and the ability to multitask in a fastpaced environment.

Essential Duties and Responsibilities:

Partner with the management team to ensure all maintenance jobs are scheduled and executed timely.

  • Administrative Support: Provide administrative support to the management team and field staff by managing schedules handling correspondence and organizing documents.
  • Customer Service: Serve as the primary point of contact for property managers addressing inquiries scheduling appointments and ensuring customer satisfaction.
  • RecordKeeping: Maintain accurate records of work orders invoices and other relevant documentation using our internal systems.
  • Billing and Invoicing: Assist with the preparation of invoices billing statements and payment processing.
  • Scheduling and Coordination: Coordinate schedules for field staff technicians and contractors to optimize productivity and meet client needs.
  • Quality Assurance: Gather proof of work done from maintenance staff ensuring work was completed according to client specifications.
  • Data Entry: Accurately enter data into our systems including client information work orders and billing details.
  • General Office Support: Perform general office duties such as filing scanning photocopying and faxing documents as required.
  • Compliance: Ensure compliance with company policies and procedures as well as relevant regulatory requirements.
  • Team Collaboration: Collaborate with colleagues across departments to ensure seamless communication and workflow.

QUALIFICATIONS

  • Proven experience in an administrative role preferably in a property maintenance or related industry.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and other relevant software applications.
  • Excellent communication skills both written and verbal.
  • Strong organizational and timemanagement skills with the ability to prioritize tasks effectively.
  • Attention to detail and high level of accuracy in data entry and recordkeeping.
  • Ability to work independently as well as part of a team in a dynamic environment.
  • Knowledge of property maintenance terminology and practices is a plus.
  • High school diploma or equivalent; additional qualifications in administration or relevant field are a plus.
