Front Office Executive

Overview: As a Front Office Executive you will be the first point of contact for the organization responsible for handling front office reception and administrative duties. Your role is crucial in creating a positive first impression and ensuring efficient office operations.

Key Responsibilities:

  • Welcome and greet visitors in a courteous and professional manner
  • Manage incoming calls and redirect them appropriately
  • Maintain office security by following safety procedures and controlling access
  • Handle and prioritize all outgoing or incoming correspondence (email letters packages etc.)
  • Assist in organizing office activities and events
  • Keep updated records of office expenses and costs
  • Manage office supplies stock and place orders when necessary
  • Perform other administrative support tasks such as photocopying scanning and filing
  • Handle travel arrangements for employees
  • Support HR and accounting departments with administrative tasks
  • Offer support to guests and clients as needed
  • Ensure office equipment is properly maintained and serviced
  • Monitor office operations and processes
  • Provide general administrative and clerical support
  • Assist in basic bookkeeping tasks

Required Qualifications:

  • Bachelors degree in Business Administration or relevant field
  • Proven work experience as a Front Office Executive or similar role
  • Proficiency in Microsoft Office (Word Excel Outlook PowerPoint)
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Customer serviceoriented approach
  • Ability to handle stressful situations while remaining calm and professional
  • Knowledge of office management and basic bookkeeping
  • Familiarity with office machines (e.g. fax printer etc.)
  • Ability to work with minimal supervision
  • Professional appearance and manner
  • Strong time management skills
