Front Office Executive
Overview: As a Front Office Executive you will be the first point of contact for the organization responsible for handling front office reception and administrative duties. Your role is crucial in creating a positive first impression and ensuring efficient office operations.
Key Responsibilities:
- Welcome and greet visitors in a courteous and professional manner
- Manage incoming calls and redirect them appropriately
- Maintain office security by following safety procedures and controlling access
- Handle and prioritize all outgoing or incoming correspondence (email letters packages etc.)
- Assist in organizing office activities and events
- Keep updated records of office expenses and costs
- Manage office supplies stock and place orders when necessary
- Perform other administrative support tasks such as photocopying scanning and filing
- Handle travel arrangements for employees
- Support HR and accounting departments with administrative tasks
- Offer support to guests and clients as needed
- Ensure office equipment is properly maintained and serviced
- Monitor office operations and processes
- Provide general administrative and clerical support
- Assist in basic bookkeeping tasks
Required Qualifications:
- Bachelors degree in Business Administration or relevant field
- Proven work experience as a Front Office Executive or similar role
- Proficiency in Microsoft Office (Word Excel Outlook PowerPoint)
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Customer serviceoriented approach
- Ability to handle stressful situations while remaining calm and professional
- Knowledge of office management and basic bookkeeping
