Executive Assistant
We are a national alternative mortgage lender operating since 1999. We specialize in shortterm financing for clients who are unable to obtain conventional bank financing. We lend in major city centers in Ontario British Columbia and Alberta. We work with both residential and commercial borrowers.
Executive Assistant Responsibilities
Manage incoming communications which include: phone calls emails faxes mail
Greet clients who enter the office and prepare the boardroom
Manage the three principal s calendars including but not limited to: personal and business appointments events travel deadlines closing dates
Assist with correspondence to clients
Order office supplies
Book corporate travel for the office
Print copy and scan documentation
Assist with some personal assistant responsibilities for one of the VP s
Marketing Responsibilities
Plan and organize office events which include information sessions fundraisers sporting events client appreciation events
Plan and organize a calendar of tradeshow sponsorship and attendance (including ordering give away / swag materials coordinating shipping booking travel)
Propose ideas for marketing programs and marketing campaigns in order to grow client base and increase company brand presence
Maintain the social media presence of the company
Analyze and review marketing data and provide updates to senior management on the trends within the industry competitor information and legislation changes to the industry
Send promotional emails and letters to prospective and existing clients which includes: updates on new trends within the industry new lending products and upcoming rate changes
Investment Responsibilities:
Assist in review investor s subscription documents to ensure completeness
Assist in investor information data entry using multiple platforms
Requirements
Strong attention to detail with the ability to multitask
Strong communication skills both verbal and written
Experience in dealing with securities would be an asset
